MARSAN FOODS is a Canadian-owned food manufacturing company founded in 1970. With facilities in Scarborough, Marsan serves customers within casual dining, retail grocery, healthcare, and airline sectors.
SUMMARY
The Customer Service & Office Administrator reports to the Chief Finance Officer and will be responsible for assisting our finance department with the processing and transmission of sales invoices as well as general administrative duties for the office. The ideal candidate will be friendly, energetic, and self-motivated with strong computer skills and great attention to detail.
RESPONSIBILITIES:
Invoicing:
- Order-entry – Intake of customer orders (by fax), perform order-entry in our ERP, ensuring all the customer’s requirements (product descriptions, units, quantities, delivery times, pricing) are correct.
- Review completed Bill of Lading and generate invoices through our ERP (Just Foods- Microsoft Navision).
- Processing and transmission of sales invoices received via email or Electronic Data Interchange through our ERP.
- Generate weekly and monthly sales/inventory reports and ad hoc reports for internal use.
- Other duties which may be assigned by the Director of Finance or Senior Management.
Admin:
- Proactively monitor and respond to all customer inquiries with a focus on delivering superior customer satisfaction.
- Front desk reception duties including greeting and directing visitors/ clients.
- Mail and courier responsibilities (UPS, Fed Ex, Trans Ontario); Collect, sort, and distribute outgoing and incoming mail.
- Organize and maintain filing systems.
- Maintain, monitor, and order office supplies.
- General housekeeping.
QUALIFICATION REQUIREMENTS:
- University or college background, with some accounting or business exposure preferred.
- A minimum of one (1) year experience in office environment
- Ability to multitask and work effectively under pressure.
- Excellent verbal and written communication skills.
- Proficiency in using software a must, such as MS Office Suite (Word, Excel & Outlook).
- Experience with an ERP system is preferred.
- Experience with SPS Commerce and GS1 preferred.
PHYSICAL REQUIREMENTS:
Position requires high levels of mental acuity, keyboarding skills, and ability to sit/stand for extended periods of time.
Job Types: Full-time, Permanent
Pay: $45,000.00-$48,000.00 per year
