Job Summary
We are seeking a highly organized and professional Receptionist/Administrative Assistant to join our team. This role is essential in providing exceptional customer support and ensuring the smooth operation of our front desk. The ideal candidate will possess strong clerical skills, proficiency in computer systems, and the ability to manage multiple tasks efficiently. This position requires a friendly demeanor and the capability to handle various administrative duties while maintaining a welcoming environment for clients and visitors.
Responsibilities
- Greet and assist visitors in a courteous manner at the front desk.
- Manage incoming calls using phone systems, directing them to appropriate personnel or taking messages as necessary.
- Perform data entry tasks accurately and efficiently, maintaining up-to-date records.
- Provide customer support by addressing inquiries and resolving issues promptly.
- Perform accounting tasks, including invoicing and payment processing.
- Conduct proofreading of documents to ensure accuracy and professionalism in all communications.
- Assist with clerical duties such as filing, scanning, and organizing office materials.
- Support dental receptionist functions when required, including scheduling appointments and managing patient records.
- Maintain a clean and organized reception area to create a welcoming atmosphere.
Qualifications
- Previous experience in a front desk or administrative role is preferred.
- Proficiency in computer systems, including Microsoft Office Suite.
- Strong customer service skills with the ability to communicate effectively both verbally and in writing.
- Excellent organizational skills with attention to detail for data entry and proofreading tasks.
- Familiarity with phone systems and general office equipment is essential.
- Ability to multitask in a fast-paced environment while maintaining professionalism.
- A positive attitude with a willingness to assist team members as needed.
