Job Summary:
The Service Coordinator plays a pivotal role in ensuring the smooth operation of our Service Department. This position is responsible for assisting the Service Director with scheduling, dispatching technicians, handling administrative tasks, managing customer inquiries, and supporting quality control efforts. The ideal candidate is highly organized, detail-oriented, and possesses excellent communication skills to effectively coordinate service activities and enhance customer satisfaction.
Key Responsibilities:
Scheduling & Dispatching:
- Coordinate and schedule service appointments for technicians using service management software.
- Optimize technician routes to maximize efficiency and reduce travel time.
- Adjust schedules dynamically based on urgent service requests or changes in availability.
Administrative Support:
- Assist the Service Director with creating and managing work orders.
- Handle parts ordering and inventory management in collaboration with the Inventory Coordinator.
- Maintain accurate records of service activities, customer interactions, and technician reports.
Customer Service:
- Respond to customer inquiries via phone, email, and in-person, providing information and support.
- Manage routine follow-ups with customers to ensure satisfaction and address any concerns.
- Assist in preparing and sending service quotes to customers, ensuring accuracy and timeliness.
Quality Control:
- Support the Quality Control Manager by scheduling and coordinating quality inspections.
- Conduct regular follow-ups on completed jobs to gather feedback and ensure high service standards.
- Document and report any quality issues to the Service Director for resolution.
Coordination & Communication:
- Facilitate effective communication between the Service Department, Maintenance Department, and other relevant teams.
- Participate in regular team meetings to discuss service performance, challenges, and improvements.
- Utilize CRM and service management tools to track and manage service requests and customer data.
Process Improvement:
- Identify opportunities to streamline service operations and enhance efficiency.
- Implement best practices for scheduling, dispatching, and customer service.
- Assist in training new administrative staff and technicians on service protocols and procedures.
Qualifications:
- High school diploma or equivalent required.
- Associate’s degree or higher in Business Administration, Management, or a related field preferred.
Experience:
- Minimum of 5 years in an administrative or coordination role, preferably in the service industry.
- Experience with service management software is highly desirable.
- Proven ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
Skills:
- Strong organizational and time-management skills.
- Excellent verbal and written communication abilities.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and CRM systems.
- Detail-oriented with a high level of accuracy in work.
- Ability to work collaboratively with diverse teams and departments.
