Job Title: HR Administrator (Contract until March 31, 2026)
Work location: IRC
Team: Human Resources
Hours: 35 per week; require working irregular hours including evenings, weekends and some holidays
Summary of the Position: The HR Administrator will play a key role in managing day to day HR operations, with a strong focus on recruitment, HRIS administration in a unionized, non-profit environment. The ideal candidate will have experience with Workforce Now (ADP) and possess a deep understanding of unionized workplace practices.
Essential duties and responsibilities:
· Develop and post job postings. Screen, interview, and coordinate with hiring managers.
· Facilitate onboarding, including orientation and new hire documentation.
· Maintain and update employee records in ADP Workforce Now.
· Generate reports and analyze HR metrics as needed
· Ensure data accuracy and compliance with internal policies. Ensure compliance to collective agreement, government legislation and CICS policies
· Liaise with managers, Finance Department and other staff as required
· Proactively Review of HRIS and Personnel File to verify information
· Proactively create documents for integration to HRIS and Payroll (WFN-ADP) system
· Compile statistical reports, statements, and summaries related HR and Payroll
· Perform other unplanned tasks or duties of a transient nature as assigned by the supervisor from time to time.
Qualifications:
· Post-secondary education in Human Resources, Business Administration, or a related field
· Proficiency with Workforce Now (WFN) is required, preferably in a non-profit and unionized setting
· Knowledge of labor laws, union agreements, and HR best practices
· Excellent interpersonal and communication skills
· Ability to multitask and manage priorities in a fast-paced environment
· Strong organizational and analytical skills
· Advanced word and excel skills with ability to work with complex formulas
· Ability to work under pressure and within tight deadlines
· Ability to prioritize, identify problems & implement solutions
· Attention to detail with superior organization skill
· Reliable, flexible and a team player and work independently
· Excellent communication, problem solving, interpersonal skills and maintain confidentially at all levels of communication
· Proficient in using Microsoft Office especially Excel
· Ability to cope with changes and be flexible in scheduling; willing to work some evenings and/or weekends
Other Requirements:
Ability to perform some physical activities (e.g. lifting and loading program materials and office equipment);
A negative result in Vulnerable Sector Screening is mandatory;
