About The Residence Admissions Assistant Role
Under direction from the Manager, Residence Admissions, the Residence Admissions Assistant actively supports the Residence Admissions team with the delivery of housing services including admissions, room assignments, room occupancy records, confidential student records maintenance, posting and ensuring collection of residence and dining plan fees, provincial aid verification, and withdrawal processes. The Residence Admissions Assistant also assists with public relations and marketing goals for the residence and provides clerical and secretarial service support for the residence operations.
This Is Accomplished By
- Verifying residence room rates by room type and dining plan selected, prorating for late arrivals, and posting fees to the residence management system (StarRez)
- Working within the established system of Registration and Financial Services to ensure fees are posted to students’ MyHumber accounts accurately, and accessing Banner to ensure payment is collected, investigating discrepancies as needed
- Developing databases and spreadsheets as needed in order to record and present student information
- Creating reports in the residence management system to provide data as needed for the Residence Admissions team and the Residence Management Team utilizing various methods of communication with students en masse, for example using contemporary technology including mail merge letters and mass emails, ensuring system or programming accuracy before sending to maintain confidentiality and reputational integrity
- On-going communication with prospective and current residents, parents, staff, and campus partners to contribute to a positive experience for our students
- Providing professional, accurate, and timely correspondence with prospective and current residents
- Supporting with the planning and execution of residence open houses
- Assisting with the recruitment and selection of residents who will allow us to use their rooms as tour rooms throughout the academic year
- Providing confidential administrative support to the Manager, Residence Admissions
- Organizing and maintaining paper and electronic files
- Documenting changes to room management software processes
- Providing coverage for front desk break

Education
2-year diploma in business, finance, office administration, or related field, or equivalent
Experience/Skills
2 years of experience in an administrative or customer service environment
The preferred candidate will have the ability to demonstrate the following:
- excellent interpersonal, listening, and customer service skills;
- the ability to work well under pressure while demonstrating confidence and good judgment including the ability to respond appropriately during an emergency or when dealing with difficult people or situations;
- demonstrated ability to undertake tasks and duties according to procedures and standard processes;
- computer literacy with knowledge of e-mail software and Microsoft Office Suite;
- consistent attention to detail; demonstrated organizational skills and the ability to handle multiple tasks.
