About the Role:
We are seeking a highly organized, proactive, and detail-oriented professional to join our team as an Office Administrator/Executive Assistant. This role is ideal for someone who thrives in a fast-paced environment, enjoys contributing to the success of a team through efficient office management, executive support, and marketing coordination.
Responsibilities:
Office Management
- Manage office operations, including ordering supplies, maintaining equipment, and ensuring the office environment is clean and organized.
- Organize and maintain internal databases, filing systems (both physical and digital), and project schedules.
- Coordinate incoming and outgoing mail, deliveries, and office communications.
- Keep track of records and ensure compliance with office policies and procedures.
Administrative Support
- Schedule and coordinate meetings, and manage project timelines.
- Submit expense reports and process billing and invoicing for services rendered.
- Maintain and update customer records.
- Support PR relations, investor relationships, and other external communications.
- Coordinate and execute social media posts and digital marketing campaigns, ensuring alignment with company objectives.
- Monitor, build, and analyze digital and social media content performance against targets.
Executive Assistance
- Provide high-level administrative support to the management team, including managing calendars and coordinating travel arrangements.
- Handle confidential information with discretion.
- Act as a point of contact for internal and external stakeholders, ensuring seamless communication.
Front Desk Duties
- Answer, screen, and redirect phone calls in a professional manner.
- Greet visitors and ensure they are attended to promptly and courteously.
- Address employee and manager queries efficiently.
Requirements:
- Proven experience in a similar role, such as Office Administrator, Executive Assistant, or Front Desk Associate, with exposure to digital marketing or social media management.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook), CRM software, and familiarity with office equipment.
- Strong organizational and time-management skills with the ability to coordinate multiple tasks and meet deadlines.
- Excellent written and verbal communication skills.
- Experience in content creation and managing social media platforms.
- Problem-solving skills, attention to detail, and a proactive mindset.
- Ability to work independently and collaboratively within a team.
- College diploma (additional corporate paralegal or marketing courses are a plus).
