What You’ll Be Doing
As a member of Internal Audit’s Professional Practices Centre (PPC), you’ll play a crucial role in supporting various functions that enhance the operational efficiency of our team. As the PPC Operations Coordinator, you’ll coordinate various administrative tasks across different PPC groups, manage documentation, and facilitate communication with internal and external stakeholders. Your responsibilities will include monitoring mandatory training completion, document management, vendor coordination, regulator requests, reporting and resource management activities. You’ll work closely with team members to ensure compliance, streamline processes and enhance the overall effectiveness of the PPC team.

How You’ll Succeed
- Learning & Development (L&D): Coordinate and report on training sessions, ensuring compliance with NASBA documentation requirements. Monitor the L&D mailbox for unresolved emails and manage training scheduling, including calendar invites and facilitator coordination. Track attendance and completion of mandatory training, following up with team members as needed.
- Methodology & Governance: Manage Confluence space to ensure access to the latest methodology guides and documentation. Oversee vendor requests and onboarding processes, ensuring compliance with internal policies. Conduct regular reviews of the central mailbox to address annual planning deliverables.
- Regulatory Affairs: Support in responding to Global and US audit requests from regulators, including compiling, updating support documents, and preparing them for submission to the regulators, ensuring all supporting materials are formatted correctly and organized. Schedule and manage meetings with US regulators to facilitate communication and compliance. Assist with the facilitation of Regulatory Validation Challenge Council effective sessions within Internal Audit, document meeting minutes, and schedule and manage sessions accordingly.
- Reporting: Monitor and distribute Internal Audit reports, ensuring timely communication with relevant stakeholders. Conduct monthly reconciliations and updates for various reporting requirements.
- Resource Management: Update data and ensure accurate tracking of departmental staff and open requisitions. Reconcile data from Internal Audit’s resource scheduling tool with departmental staffing and audit plan data to ensure consistency and accuracy. Centralize onboarding processes for new hires, ensuring a smooth transition into the organization. Perform bi-weekly timesheet reporting to provide insights to Internal Audit leadership.
Who You Are
- You have a post-secondary education preferably in Business Administration, Management, or a related field.
- You have administrative/ operational experience, preferably within financial services or a regulatory environment. Experience with training coordination and vendor management is an asset.
- You are proficient in Microsoft Office Suite (Word, Excel, PowerPoint and Outlook) and document management systems (e.g. SharePoint).
- You have strong organizational/project management skills, with the ability to manage multiple tasks and prioritize effectively.
- You have excellent verbal and written communication skills, with the ability to interact professionally with internal and external stakeholders.
- You are able to work collaboratively in a team environment and build positive relationships with colleagues and stakeholders.
- You are open and willing to learn new tools and processes, as needed.
- You’re goal-oriented. You’re motivated by accomplishing your goals and delivering your best to make a difference.
