Job Description:
We are looking for a highly motivated, organized, and professional individual to join our team as a Mortgage Assistant/Front Desk Receptionist.
In this dual role, you will provide administrative support to our mortgage team while also serving as the first point of contact for clients and visitors at the front desk. The ideal candidate will possess excellent communication skills, a strong attention to detail, and a customer-focused attitude.
As a Mortgage Assistant, you will assist in managing client documents, preparing mortgage applications, and ensuring that all necessary paperwork is completed accurately and efficiently.
As the Front Desk Receptionist, you will greet visitors, answer phone calls, and provide excellent customer service to create a positive first impression of our company.
Key Responsibilities:
Mortgage Assistant Duties includes:
- Assist mortgage brokers and loan officers with preparing loan documentation, including applications and disclosures.
- Review and verify mortgage application materials for accuracy and completeness.
- Coordinate with clients, appraisers, and underwriters to obtain necessary documents and information.
- Maintain and update client files and databases to ensure accurate and up-to-date records.
- Communicate with clients regarding the status of their mortgage applications and assist with any questions or concerns.
- Process and track mortgage loan files from application through approval.
Front Desk Receptionist Duties includes:
- Greeting clients, visitors, and vendors warmly and professionally.
- Answer incoming phone calls, direct them to the appropriate department, and take messages when necessary.
- Manage scheduling and appointment coordination for mortgage staff and clients.
- Maintain a clean and welcoming reception area.
- Assist with office supplies, mail, and other general administrative duties as needed.
- Perform data entry and ensure that client information is accurately recorded and maintained.
Requirements:
- Bachelor’s degree preferred
- 1-2 years of administrative experience; experience in the mortgage or real estate industry is a preferred.
- Strong organizational skills and the ability to multitask effectively.
- Excellent communication skills—both verbal and written.
- Proficiency with office software (Microsoft Office, Google Suite, etc.) and basic office equipment (phones, printers, fax machines).
- Ability to work independently and as part of a team in a fast-paced environment.
- Professional appearance and demeanor.
- Customer-focused with a positive attitude and excellent interpersonal skills.
- Experience with mortgage software and loan processing tools is a plus.
