Overview:
The Receptionist will be the first point of contact for visitors, clients, and employees, providing a warm and professional welcome. The ideal candidate should possess excellent communication skills, a friendly demeanor, and the ability to multitask efficiently in a fast-paced environment.
Job Responsibilities :
- Greet and welcome visitors, clients, and employees with a positive and professional attitude.
- Answer and direct phone calls to the appropriate personnel, providing accurate information when needed.
- Manage incoming mail, packages, deliveries, and access cards.
- Maintain a neat and organized reception area, ensuring a comfortable and inviting atmosphere.
- Assist in scheduling appointments and meetings, coordinating with relevant teams.
- Manage the company's `Officeservices` email and direct inquiries to the appropriate departments.
- Keep track of office supplies and coordinate orders as necessary.
- Provide administrative support, including photocopying, filing, and data entry.
- Collaborate with various departments to ensure smooth communication and guest coordination.
- Handle sensitive and confidential information with discretion and professionalism.
- Perform other tasks as assigned to contribute to the overall efficiency of the office operations.
Skills/Experience :
- High school diploma or equivalent.
- Proficient in using office equipment such as phones, printers, and computers.
- Familiarity with basic office software (e.g., Microsoft Office Suite).
- Strong verbal communication skills and a friendly, approachable demeanor.
- Excellent telephone etiquette and active listening skills.
- Strong organizational skills and the ability to handle multiple tasks simultaneously.
- Professional appearance and attitude.
- Ability to work independently and as part of a team.
- Punctuality and dependability are essential.
- Previous experience in a receptionist or front desk role is an asset.
