Position: Legal Administrative Assistant
Location: Downtown Toronto / Hybrid (to be confirmed after probationary period)

We are seeking a reliable and passionate Legal Administrative Assistant to join our dynamic team and provide high-calibre service both internally and to our clients.
Main Duties and Responsibilities
- Handle website and social media leads, make outbound calls, and support our call answering service.
- Prepare and send follow-up emails to clients.
- Arrange consultations, liaise with lawyers and process client payments.
- Maintain a high level of client satisfaction through effective communication.
- Manage new client workflow throughout the firm and initiate follow-up actions promptly to meet deadlines.
- Process new files or make changes to existing files.
- Perform searches for both individual and business inquiries.
- Manage mail processing and distribution tasks.
- Create, maintain, and close files using Sultan Lawyers' electronic filing systems.
- File and manage electronic documentation utilizing Sultan Lawyers' database software and filing systems.
- Maintain and monitor calendars, including scheduling client appointments.
- Occasionally assist the marketing team with tasks such as award submissions, content creation, and social media posting.
- Provide administrative support during staff vacations and absences, including tasks such as billing and client payment follow-ups.
- Provide general support and perform additional duties as required.
Qualifications and Skills
- Minimum 2 years of office or related experience
- Post-secondary education in legal administration, business administration, or a related field preferred
- Strong client service focus and interpersonal skills
- Excellent verbal and written communication skills in English
- Ability to organize, multitask, and work under pressure in a fast-paced environment
- Strong attention to detail
- Technical competency in Microsoft Office suite and Adobe software
- Knowledge of legal practice management software (e.g., Clio) is an asset
