We are currently seeking a highly motivated and customer-centric Project Administrative Assistant to join our team.
Job Description
. Assisting the Project Manager with all administrative functions and processes as required.
. Ensuring that the team adheres to provided timelines, deliverables, and documenting progress as required.
. Compiling, organizing, and filing all project documentation for the Project Managers.
. Communicating plans, actions, risks, and issues with key stakeholders as required.
. Assisting with the day-to-day activities including reading takeoffs and acquiring quotes from suppliers.
. Ensuring documentation is updated throughout the length of the project.
. Preparing and updating project binders for site as required.
. Collaborating with team members to solve any issues that may arise during the project.
. Promptly notify the site of any change notices along with communicating the appropriate documents.
. Following-up and building relationships with the General Manager and other stakeholders as required.
. Preparing close out documents at the end of the project.
. Build and maintain positive relationships with vendors.
. Analyzing project data and producing progress reports.
. Eager to contribute to the expansion of the company.
. Acquire up-to-date technical knowledge.
. Conduct price checks on product invoices to ensure accurate billing.
. Other duties as required.
Requirements and Qualifications
. 1-2 year of experience in a similar role (preferred)
. Experience in commercial construction (preferred)
. Mechanical Engineering Technology Diploma or similar training.
. Proficient Microsoft Office skills
. Excellent written and verbal communication skills
. Ability to meet deadlines in the face of shifting priorities
. Reliable, self motivated, and goal driven
. Strong team player with an ability to work independently
. Ability to influence others to action
. Strong customer service skills with a safety mindset
