Position Summary
Primaris REIT is currently hiring a dedicated and enthusiastic Retail Lease Administrator to join our team at our Head Office in Toronto, ON. Role
As the Retail Lease Administrator, you will be responsible for providing Lease Administration support to enhance overall operations efficiency of department processes and offer exceptional service to all internal and external customers. You will develop skills in the foundational aspects of our business, gaining hands-on experience for the review, interpretation and management of legal documentation to ensure integrity of lease information.
- Manage the administration of signed documents such as Specialty Leasing Agreements, Storage Agreements and License Agreements ensuring the tenant is billed in accordance with the legal document at all time, including data entry of critical date and financial information into Yardi
- Assist with lease documentation set-up of newly acquired properties in the company’s ERP system
- Participate in establishing new standards, guidelines and procedures for lease information input to ensure best practice and policies and procedures are kept current
- Support the maintenance of denominator excel files for accounting and lease administration
- Maintain the integrity and quality of the lease information in the ERP system by following policies and procedures at the time of data entry and performing continuous review of data exception reports, rent rolls and other system documentation and eliminating erroneous data, where required
- Participate in lease information audits to ensure the integrity of data is maintained
- Support the Senior Lease Specialist in managing tenant recovery templates and ensure the continuous maintenance and updating of the recovery manual
- Support the Retail Lease Specialist with processing of percent rent
- Contribute to the annual budget process
- Liaise with internal teams and resolve issues or related questions to specific files
- Other ad hoc duties as assigned
Requirements

- Bachelor’s Degree or College Diploma in Business, Real estate, or related field preferred
- Basic knowledge of accounting principles
- Some understanding of retail/commercial leases an asset
- Proficiency with ERP system (Yardi) an asset
- Excellent working knowledge of MS Office applications (particularly excel)
- Proficiency in data entry and file management systems
- Strong customer service skills with the ability to build positive relationships with internal departments and our property teams
- Proactive with the ability to identify, analyze and solve problems
- Ability to work independently or as part of a team
- Strong organizational skills and attention to detail
