The Work
The Office Assistant provides essential support to all departments within the unit and company, while maintaining the office environment by providing support to the Office Experience team in the areas of reception, administration and facilities tasks. Using best business practices to manage resources, services, and processes to meet the needs of the company.
- Reception
- On a daily basis, the incumbent will assist reception to handle all shipping and receiving of courier packages for internal and external shipments.
- The incumbent will provide reception coverage provide high level experience to guests
- On a daily basis, the incumbent will book boardrooms for executive meetings and staff; the incumbent will also liaison with building management with internal requests for temperature/lighting issues. The incumbent will also monitor visitor access and maintain security awareness.
Administration
- On a daily basis, the incumbent will receive all Canada Post delivered mail & couriers. Stamp and scan to recipient, keeping folder logs of archived documents. Ensuring all end of the day out going mail including registered, and international mail is correctly weighed and send out from all departments. As well the incumbent will maintain, and order postage supplies for the mail machine.
- The incumbent will aid departments with any “special projects” (file coping, preparing archive shipments/ preparing letters for clients/ scanning/ data entry) and any other administrative tasks for departments.
- On a daily basis, the incumbent must sort and distribute all incoming faxes through our fax server and insure delivery to the appropriate recipient through email. Prepare outbound couriers and accept drop offs ensuring clients required information and documentation is up to date.
Facilities
- On a weekly basis, the incumbent will be responsible for ordering, stocking and maintaining kitchenette(s) and stock room ordering supplies when needed. The incumbent will also stock printer paper as needed within the departments.
- Assist with office events and overall organization
- Coordinate with the building management for any facility issues/maintenance requirements.
- This is an entry level position
- The ideal candidate must possess a high school diploma or equivalent (GED)
- Good working knowledge of MS Office (primarily Excel)
- Ability to work under pressure and multi-task
- Good time management skills
- Highly organized with business maturity, discretion, enthusiasm and a positive attitude
- Ability to follow directions
- First Aid certificate or open to obtaining.
- This role is highly customer service-focused, with an emphasis on supporting internal clients—our staff. The successful candidate will ensure that team members receive the assistance and resources they need to perform their roles effectively, fostering a positive and productive work environment. By prioritizing excellent communication, timely support, and proactive solutions, this position serves as a key partner to staff, treating them as valued customers.
