The Dispatch/Warehouse coordinator will be responsible for overseeing daily dispatch, and warehouse operations, managing truck maintenance, and ensuring compliance with various regulatory requirements. This role involves managing and hiring outside crews and staff, monitoring driver hours and compliance, ensuring the company’s fleet operates safely and efficiently, coordinating repairs, and managing insurance requirements and mandates. This is an in-office position located at 25 Metropolitan Road, Toronto, Ontario, M1R 2T5.
Job Description:
- Ability to interact professionally with all staff, co-workers, and customers
- Responsible for planning and scheduling for local, international, warehouse activities, & LD/CRB bookings.
- Responsible for day-to-day operations of outside crews on the road and in the warehouse.
- Ensure crews understand paperwork and instructions for day activities.
- Update all records and notes daily in Moveware
- Responsible for paperwork flow between operations and accounting team
- Responsible for hiring, training, and termination of staff reporting
- Responsible for maximizing equipment utilization which includes hiring qualified drivers
- 1st call on all incidents, accidents, and breakdowns
- Work with other Department Heads and Senior Management to ensure continued growth for all business services
- Responsible for setting and meeting goals determined by senior management
- Responsible for local claims investigation, reporting, and training
- Assist with health and safety committee requirements
- Assist in the operational purchasing of operational materials and services.
- Registering Drivers with SIRVA and container terminals
- Assist as required in warehouse activities
- All additional tasks and responsibilities as delegated by Management
Key Responsibilities
- Coordinate daily dispatch operations for local and long-distance routes & warehouse activities.
- Plan routes, manage driver’s hours, and ensure on-time deliveries.
- Provide support to drivers when issues arise on the road; act as the first and second point of contact for problem-solving.
- Responsible for Driver/Helper issues in the AM which include
- Dispatching and getting crews out on time with proper materials and equipment
- Handle ELD and MoveScout compliance issues.
- Monitor and ensure that all crew members are in uniform and maintain a neat and professional appearance while on duty
- Work closely with warehouse staff to ensure smooth and efficient handling of incoming and outgoing shipments while maintaining high-quality standards.
- Truck Maintenance, Accidents & Breakdown Management
- Oversee the truck maintenance and breakdown process.
- Follow repair schedules and coordinate repairs with dispatch and garage.
- Respond to truck-related issues and breakdowns, arranging towing or mobile repairs as needed.
- Assist with equipment issues in the yard before sending trucks for external repair.
- Inspect and arrange for the licensing of equipment
- Be the first point of contact for driver and equipment-related incidents or accidents.
- Investigate, document, and resolve driver-related issues, including paying tickets.
- Investigate accidents and work with lawyers and insurance companies as necessary.
- Ensure proper documentation and regulatory compliance in Permit Books.
- ELD & Hours of Service Management
- Manage the Electronic Logging Devices (ELD) platform.
- Troubleshoot the ELD apps, and provide training for installation, setup, and usage.
- Ensure drivers are compliant with hours-of-service regulations.
