Lead Cosmetic Coordinator

Toronto Dermatology Centre is an extremely busy clinic specializing in anti-aging and corrective treatments including Botox, wrinkle fillers, laser treatments and medical-grade skincare.
We have an immediate opening for a highly motivated, professional and experienced Lead Cosmetic Coordinator to join our cosmetic & laser clinic. Working alongside our team of medical estheticians and physicians, the Lead Cosmetic Coordinator will assist with facilitating the administrative elements of each patient encounter and visit. As the main point of contact in the cosmetic clinic, this role has a significant influence on patients experience and satisfaction.
The successful candidate will be an organized, dynamic, results-oriented individual with strong communication and interpersonal skills and a successful track record in administration or customer service roles.
Primary responsibilities include:
- Welcoming and checking in clients upon their arrival to the clinic and providing world-class service to ensure client comfort.
- Answering calls and responding to messages, providing information relevant to the inquiry.
- Knowledge of procedures and products and sharing treatment information with patients professionally and confidently.
- Actively sharing marketing initiatives and promotions with patients to provide an excellent patient experience with full service and sales support.
- Managing Patient loyalty, referral and retention programs.
- Processing clients’ payments and scheduling re-occurring and follow up appointments.
- Checking and responding to cosmetic clinic emails and voice messages.
- Address clients' questions and concerns about treatments and products.
- Responds and resolves issues and concerns with client and escalating concerns to the Clinic Director, as needed.
- Providing feedback and suggestions to Clinic Director to improve Client Experience.
- Supporting with inventory management.
- Other responsibilities, as required.
Essential for success in this role:
To be successful in this role, you are someone who’s focused on client care and customer service and preferably have worked within or is passionate about the integrative medical field. Candidate needs to present professionally and have demonstrated experience for providing exemplary customer service.
- At least 2 years' related experience in health, beauty and wellness industry or medical receptionist.
- Previous experience working in a private medical practice and/or beauty/skincare sales is preferred.
- Exceptional customer service skills.
- Experience with point-of-sale transactions is an asset.
- Open and honest communication and strong relationship- building skills.
- Dedication to maintaining confidentiality of all patient records.
- Experience working with web-based email applications, Microsoft Office and Electronic Medical Records is desired.
