Administrative Assistant (Temporary 3-month contract, Feb to Apr 2025) Onsite

We are looking for an Administrative Assistant for a 3-month contract from Mid-February to April 2025 in our internal administration group. The administrative assistant will provide accurate, timely, and responsive secretarial and administrative support in a team environment, to Stern Cohen’s partners and practice staff. This is an in person onsite role and the administrative assistant will need to attend the office 5 days a week.
This role will be required to attend the office in person from Monday to Friday.
Responsibilities
- Scanning;
- Filing and collate documents;
- Reception duties;
- Updating Taxprep re tax preparer, reviewer and partner for each T1 file;
- Sorting and updating Box Manager;
- other responsibilities as required to support the Firm’s operations.
Qualifications
- working experience in a similar role, with preference given to those candidates with prior experience in a public accounting firm environment;
- excellent communication skills (listening, comprehension, written, and verbal);
- a working knowledge of:
- MS Word (required)
- Other MS Programs (Excel, PowerPoint, Outlook) (required)
- TaxPrep software familiarity
- Time management systems (desired)
- comfortable with working with other administrators in a team setting;
- Must have experience in working in a team and client service environment;
- Must be able to deal with multiple people in a demanding environment;
- Proven ability to deal with sensitive materials with a high degree of tact and discretion;
- strong proofreading skills and orientation to detail;
- the ability to handle tight deadlines in a fast-paced environment.
