Job Overview
Latitude Counselling is seeking a detail-oriented and proactive Administrative Assistant to support the smooth operation of our counselling clinic. This role involves managing front desk operations, coordinating schedules, and providing administrative support to both clients and practitioners. Collaboration with our sister company, Latitude Wellness, will be a key component of the role.
Responsibilities
- Manage front desk operations, including greeting visitors and answering phone calls.
- Perform clerical duties such as filing, data entry, and maintaining office supplies.
- Provide excellent customer support by addressing inquiries and resolving issues promptly.
- Coordinate client appointments, practitioner schedules, and team meetings
- Utilize Google Suite for document creation, organization, and communication.
- Create basic social media and marketing materials using Canva.
- Maintain accurate records of office transactions and client interactions.
- Support the medical office team with administrative tasks as needed.
- Support with counselling clinic specific tasks: confirmation calls, organization of staff information, etc.
- Client Services: Assist with third-party payer submissions (FNHA, ICBC, CVAP, Telus e-Claims).
- Cross-Team Collaboration: Work with Latitude Wellness to ensure seamless workflows and communication.
Skills
- Strong organizational skills with the ability to prioritize tasks effectively.
- Proficiency in front desk operations and clerical duties.
- Experience in a medical office setting is a plus but not required.
- Excellent customer service skills with a friendly demeanor.
- Familiarity with Google Suite applications (Docs, Sheets, Calendar) and Canvas for simple designs
- Ability to work independently as well as part of a team.
- Strong attention to detail and accuracy in all tasks performed.
Requirements
- Must have Janeapp experience
- *Experience with third party payers/insurance such as FNHA, ICBC, CVAP, BlueCross, Telus e-claims preferred.
- Experience in an administrative or medical office setting is an asset.

Pay: $19.00-$22.00 per hour
Expected hours: 16 – 40 per week
