Position Overview
We seek a dynamic Office Administrative Assistantto lead our administrative operations and support the team’s organizational efficiency. This role is critical in ensuring seamless office management, compliance, and operational excellence.
Key ResponsibilitiesAccounting
- Oversee financial records using QuickBooks.
- Handle accounts payable/receivable and monthly reconciliations.
- Ensure timely CRA and Ontario Securities Commission filings.
- Coordinate with auditors for year-end statements.
- Prepare and manage budgets, financial reports, and payments.
Human Resources
- Maintain personnel records and manage payroll systems.
- Administer employee benefits.
- Update policies in alignment with OSC standards.
Administrative
- Coordinate meetings, travel, and client visits.
- Manage office inventory and supplies.
- Ensure accurate document filing and retrieval.
Marketing and Communications
- Manage company communication channels, press releases, and contact lists.
- Distribute marketing materials to clients and stakeholders.
What We’re Looking For- Experience
- 1-3 years in office management or administrative leadership roles.
- Proficiency in QuickBooks and payroll management software (e.g., Ceridian).
- Skills
- Advanced Microsoft Office (Excel, Word, Outlook).
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills in English.
