The Office of the Chief Electoral Officer (Elections Ontario) is an independent, non-partisan office of the Legislative Assembly of Ontario, responsible for administering provincial elections, by-elections, and referenda in Ontario. The Compliance division of Elections Ontario is seeking a Registration Officer that will provide information and support to our stakeholders as well as administer registration requirements, payment of quarterly allowances, campaign expense reimbursements and audit subsidies requirements of the Election Finances Act.
What to expect in this role
Reporting to the Manager, Registration & Transfer Payments you will:
- Receive and examine registration and change of registration forms to determine accuracy, completeness and compliance with the registration and filing requirements of the Act and related guidelines and policies.
- Ensure that required and relevant information and documentation is filed with the Chief Electoral Officer.
- Identify apparent registration or filing contraventions of the Act and bring them to the attention of the person responsible for the filing.
- Administer timely and accurate payments to qualifying recipients.
- Maintain an electronic database of registration files and related documentation and ensure all are accessible and open to public scrutiny.
- Liaise with the public and media to provide information on the registration aspects of the Act and related guidelines.
- Ensure annual update compliance with registration requirements by parties and constituency associations.
- Lead/participate on various committees and coordinate the development and evaluation of policies, initiatives, projects to address policy/project-related issues and concerns.
What you need to qualify
- Good knowledge and understanding of administrative practices, policies and procedures and records management processes.
- Ability to understand and apply knowledge of the Election Finances Act and its guidelines to administer the Act’s registration requirements.
- Knowledge and understanding of the business and legislated environment of electoral event administration is an asset.
- Well-developed communication, analytical, organization and negotiation skills.
- Adept at fostering stakeholder relationships using tact, diplomacy, and communication (written and verbal) skills.
- Well-versed in MS Office (Excel, Word, PowerPoint).
- Must be legally entitled to work in Canada.
Elections Ontario offers alternative work arrangements (Telework or Compressed Work Week). This position requires in-office presence 4 to 5 days per week, based on operational requirements.
