Job description
We are a law office located in North York, Ontario, practicing in real estate and wills & estates law that is currently seeking a professional and highly motivated legal receptionist/assistant to join our team.
The responsibilities include, but are not limited to:
- Answering incoming phone calls on a multi-line system
- Greeting clients, scheduling, and confirming appointments and meetings
- Managing email, mail, and courier correspondence
- File opening, filing, photocopying, scanning, and banking
- Directing incoming faxes to appropriate individuals
- Preparing correspondence, completing client intake, and other administrative duties as required
- Maintaining inventory of stationery and office supplies
- Maintaining the office schedule, diarizing important dates, deadlines, and appointments
- Data entry, and document preparation
- Drafting simple legal documents and instruments for review by senior legal assistant and lawyer
The ideal candidate will possess the following skills and experience:
- Excellent oral and written communication skills
- Exemplary phone etiquette (professional and friendly demeanor)
- Strong organizational, time-management, prioritization skills, and keen attention to detail
- Diligence, commitment, and the ability to excel in a fast-paced, high-volume law firm
- Advanced technical and computer skills including proficiency in Microsoft Word and Outlook
- Ability to work well independently with minimal supervision, as well as in a team setting
- Willingness to work outside traditional working hours when required
- Must have a valid driver's licence and everyday use of a car
- Fluency in Korean language is a strong asset
