We are a family owned and operated business that has been building luxury homes and condominiums in the Greater Toronto Area for over 50 years. We also manage a large portfolio of residential and commercial properties.
We are looking to hire a Receptionist. The ideal candidate possesses strong time management and organizational skills. This is a full time, in-office position. Hours are Monday to Friday 8:45am-5:15pm.
Job Duties
Not Limited to:
- Respond to telephone, e-mail, and in-person inquiries from clients, business partners, and other parties.
- Refer all inquiries to the appropriate individuals, divisions, or departments across the organization.
- Take and record telephone, e-mail, or written messages for staff members.
- Type forms, letters, reports, and memos, as necessary.
- Receive and distribute all forms of paper correspondence.
- Organize, maintain, and coordinate office records and files in their proper locations.
- Where necessary, assist in the compilation of data for various reports.
- As the first contact, present a positive and professional image of the organization to all visitors, suppliers, inquiries, and other interactions.
- Provide information to staff and/or clients about special activities.
- Observe and report any security issues to HR.
- Administer and manage inbound/outbound mail, including priority post, packages, courier services, and other correspondence.
- Maintain the reception in a tidy and presentable manner.
- Accept and monitor inbound shipments, as necessary.
- In charge of preparing meetings and maintaining the boardrooms.
- In charge of the photocopier’s maintenance and supplies.
- Order supplies and maintain the postage meter.
- Assist other departments as needed.
- In charge of the cleanliness of the kitchen and boardrooms and common areas.
- Accounting administration as required.
- Responsible for preparing and submitting reports for credit card reimbursements.
- Other duties as required.
Requirements
- High school diploma, or an acceptable combination of education and experience.
- Strong knowledge of Microsoft Office products, including Excel, Word, and Outlook.
- Excellent analytical and problem-solving skills, and general mathematical skills.
- Superior telephone manners and strong interpersonal skills.
- Strong written and verbal skills to communicate with all levels of the organization and its executive team.
- Strong customer service orientation.
- Must maintain the confidentiality of all company and customer information and must not discuss such matters outside of State Building Group.
- Tact and discretion must be used in all dealings with all customers and potential customers to maintain a positive image.
- Strong time management and organizational skills required.
- Must be punctual and reliable.
