You are an ambitious Site Administrator with a proactive approach to providing exceptional administrative support. In this role, you will work closely with the project team to ensure all site documentation is accurate, well-organized, and distributed promptly to the appropriate parties. Essential Responsibilities
- Supports and maintains project start-up systems and procedures including job site trailer or office, master filing system, project billings, cost accounting system, and project directory
- Performs general administrative and recordkeeping functions including the review and distribution of documentation; preparation of correspondence, photocopying, filing, faxing, managing calendars, preparing expense reports, coordinating mail, meeting minutes, submittals and RFIs; and maintenance of files, logs, drawings, and specifications
- Communicates with management, staff, contacts and visitors, and acts as a resource for general administrative inquiries and information
- Maintains construction logs, control documentations and updates site progress photos
- Assists with the coordination of meetings including scheduling, booking resources, compiling required materials and making catering arrangements
- Orders office supplies and equipment as required. Coordinate computer requests, phone and office moves and other installations
- Maintains and updates various contact and distribution lists for the department or project
- Assists manager(s) with preparation for the arrival of new hires and safety orientations
Qualifications
- 2+ years of administrative or project coordination experience
- Prior experience working on high rise residential construction projects is preferred
- Completed post-secondary education in Construction, Engineering or related discipline an asset
- Experience using MS Office, and an aptitude for learning various computer systems
- Excellent communication skills and able to collaborate with multiple project stakeholders and interpret their needs
- Ability to work independently, manage multiple tasks and set priorities
Working Conditions
- Site based position in Toronto, Ontario
- Valid drivers license and clean abstract
