We are currently recruiting for the following role in our Toronto office:
Facilities/ AV Assistant The Role
We are recruiting for the following full-time shift: 7:30 am to 3:30 pm.
Essential Functions
- Maintaining overall cleanliness and upkeep of Client Centre meeting rooms and equipment
- Ensuring meeting room equipment is set up prior to booked times and removed at the end of meetings, including audiovisual equipment, tables, chairs, etc.
- Trouble-shoot AV issues
- Assisting and instructing clients and other users on proper use of equipment, often while meetings are in session
- Administering access cards and CCURE data base
- Maintaining contact with Reception staff to ensure prompt response to requests
- Liaising with Building Operations and submitting work orders as required
- Monitoring and responding to Facilities email inbox requests
- Handle all aspects of facilities related functions: keeping boardrooms in pristine presentation form, arranging tables to accommodate meetings, physical relocation of hardware/equipment, set-up of video-conference and audio-visual equipment, coordinating routine maintenance, lighting requests, carpet maintenance, HVAC, etc. and keeping pace with changing demands
- Install, repair and move office furniture
- Basic ergonomic assessments
- Assist Hospitality staff in receiving orders, setting up or clearing hospitality materials for large lunches or dinners and events
Qualifications:
- Crestron or equivalent meeting room control technology experience
- Cisco video conference equipment or equivalent experience
- TEAMS, WebEx or Zoom experience
- Basic laptop, portable projectors setup and connections knowledge
- Rendezvous booking system experience ideal but not a requirement
- CCURE experience ideal but not a requirement
- The ideal candidate must possess excellent client relations skills, be self-motivated and have a strong team player attitude
- Able to plan and organize everyday tasks with little supervision
- Must be able to work independently and in a team environment (coordinating activities with Reception)
- Must be able to work with changing priorities and manage priorities to achieve the best possible results
- Must be capable of frequent lifting of items up to and exceeding 50 lbs.
- Flexibility to start early or stay late to accommodate schedules
- Position involves periods of walking or standing
- Experience with the following would be considered an asset:AMX or equivalent boardroom sound systems control, Encelium lighting systems, C-Cure security software or equivalent Skyfold technology, Microsoft Outlook, Meeting Room booking software, Cisco TMS, MCU, Mediasite media streaming, Biamp/Tesira and Remote Desktop Connection
