Performance Institute is a dynamic, forward-thinking facility specializing in sport-specific training, personal fitness, and active rehabilitation. We proudly serve a diverse clientele, including general fitness enthusiasts, Canada’s top athletes, actors, and active rehabilitation clients. Our training offerings include personal, semi-private, group, injury rehabilitation, and team sessions. Past and current clients include the Vancouver Whitecaps, elite wheelchair athletes, Canada’s top figure skaters, and stars like Hugh Jackman, Amanda Peet, David Duchovny, and Zac Efron.
At Performance Institute, our Administrative Assistants are essential to ensuring a seamless client experience. This role is perfect for someone who is proactive, personable, highly organized, and passionate about fitness and sports performance. You’ll work closely with our trainers and clients in a collaborative and supportive environment while gaining valuable experience in the fitness industry.
What You’ll Do
As our Administrative Assistant, you’ll:
Administrative Responsibilities
- Manage client bookings and trainer schedules using a digital platform.
- Coordinate with insurance adjusters and lawyers for active rehab clients.
- Handle customer service via phone, email, and in-person inquiries.
- Process payments and assist clients with account management.
- Support personal trainers and management with administrative tasks.
Client Engagement
- Welcome clients warmly and contribute to their comfort in our facility.
- Provide exceptional customer service to members and guests.
- Share general fitness and basic supplement knowledge.
- Maintain a clean, sanitized environment, ensuring protocols are followed.
- Participate in community initiatives, such as fundraisers.
Personal Growth
- Take advantage of free semi-private training sessions outside your shift to enhance your fitness and firsthand experience with our services.
What We’re Looking For
Essential Qualifications:
- High School Diploma.
- Customer service experience.
- Strong communication skills, both written and verbal.
- Proficiency with MS Office and basic computer tasks.
- Ability to handle complex situations with professionalism.
- Excellent time management, organization, and attention to detail.
Preferred Qualifications:
- Currently pursuing studies in Kinesiology or a related health field.
- Personal experience as an athlete.
- Familiarity with ICBC processes and working with adjusters.
Working Conditions
- Clean, air-conditioned gym environment.
- Winter hours include Sundays and may include Saturdays.
- Typical shifts: Saturday & Sunday (9:00 am–1:00 pm) or Thursday (3:30–7:30 pm) and Sunday (9:30 am–12:30 pm).
- Availability to cover additional shifts during vacations or illnesses is an asset.
