Blue Ant Media is looking for a part-time Office Services Coordinator. This role will report into the Manager, Office Services. As the first point of contact for all employees, clients, and visitors, the Office Services Coordinator is responsible for presenting a welcoming, professional, and positive atmosphere at Blue Ant Media. Hours are Monday-Friday, 9:00AM-1:00PM.
Responsibilities extend to performing additional office administrative/clerical tasks and building maintenance duties.
What You’ll Be Doing…
- Greet and assist fellow employees, visitors, clients, and vendors on a daily basis
- Answer incoming telephone calls and transfer callers to the appropriate personnel
- Ensure reception area and common areas are kept neat and tidy
- Prepare, schedule, and manage delivery and pick-ups of all courier items
- Order and monitor inventory of office supplies
- Assist with ordering food, and catering for lunches or corporate meetings
- Prepare memos and correspondence for inter-office communications
- Reconciliation of monthly expenses for office services department and select senior staff
- Assist as a resource for phone numbers, international office locations, restaurants, taxi, florists, etc.
- Assist with the planning of special events, projects, and participate as required (including the running of social events, charity, etc.)
- Collaborate with vendors and building management for a smooth running of day-to-day office administrative operations
- Assist employees with office operations, including but not limited to, booking boardrooms and ordering catering
- Monitor office safety and security, along with employee access requirements
What You’ll Bring…
- Minimum 2 years office administration experience working in a fast-paced environment (+ customer service industry experience would be an asset)
- Post-secondary education preferred
- Experience using various shipping platforms (i.e., Canada Post, FedEx, UPS, etc.)
- Strong Microsoft Office (i.e., Word, Excel, PowerPoint) and Google Suites (i.e., Gmail, Drive, Docs, Sheets) skills
- Energetic and enthusiastic ambassador of our culture; representative of our company
- An ability to display good judgment in decision making and correspondence, and taking initiative when required
- Customer-focused and dedicated to exceeding the expectations of both internal and external relationships
- Strong interpersonal skills and ability to work as part of a team
- Quick to grasp new concepts and ideas, and carry out verbal and written instructions
