The Project Coordinator is responsible for planning and managing projects, ensuring they are completed on time and within budget. This includes preparing reports, conducting research, organizing meetings and events, and providing general administrative support.
Position Responsibilities:
Project Coordination:
- Developing project plans, based on budget and timeline,
- Coordinating between funder, partner agencies and community members
- Preparing progress reports, on a quarterly and monthly basis
Research and Writing:
- Conducting environment scans,
- Sourcing and collecting data, performing data analysis, benchmarking and best practices,
- Preparing presentations
Admin Support:
- Setting up meetings and preparing minutes
- Communicating with different teams for different projects
- Planning events, organizing registration and data entry, survey design and administration
- Curating a registry of available resources to meet defined deliverables
General Office Tasks:
- Managing supplies and equipment,
- Coordinating with IT and Facilities and other teams for support,
- Arranging mailing, announcements, project-related social media posting and event coordination
Requirements for the position includes:
- A Diploma/Certificate in Project Management or other relevant fields
- Experience working with and supporting seniors is an asset.
- Minimum 1 year experience in project management or similar positions
- Knowledge of project management data tools is an asset
- General business knowledge is a key success factor.
- Excellent organizational skills, ability to multitask with strong problem-solving skills
- Good experience with Microsoft Office (Word, Excel, Power Point)
- Willingness to learn and increase efficiency of work
- Excellent in taking initiatives and taking ownership of tasks
- Proactive with ability to think strategically and seeing the big picture
- Great team player with ability to manage stakeholders from different levels of seniority
- Flexibility to stay after-hours when needed
