Reporting to the Manager, HCM & Analytics, the HCM Coordinator will be responsible for assisting individual users get the most out of the system, for the data integrity of the system, and for helping firm management effectively use the data available to make informed business decisions.
Major Responsibilities
- Provides first line support for all end user questions regarding the HCM system and how it connects to business processes.
- Accurately sets up users in the Time Off module, ensuring correct policy group and holiday calendars are selected
- Assist in the year-end vacation carryover reconciliation for Payroll/F&A
- Updates fields in HCM for employee transactions such as job/department/salary changes
- Works with the Translation team to ensure job titles are correctly translated in French
- Assists with data validation, to identify data inconsistencies across the HCM to ensure accurate costing for Payroll/F&A
- Updates HCM with new job titles as required
- Assists HCM Analyst with creation/maintenance of dashboards, analytics/metrics, and reporting (includes requirements gathering and expected timelines for completion)
- Support the HCM team with creation/maintenance of business processes and workflow visualizations (swim lanes) to help identify and streamline HR technology solution
- Gathers details for identified issues and creates and manage support tickets with HCM vendor – this would include following up with the HCM vendor if ticket is not resolved in a timely manner or solutions are incomplete/do not solve the issue
- Documents details relating to “pain points” with current business processes or HCM system and review with HCM team for possible solutions
- Assists HCM Analyst/Senior Talent Coordinator to design surveys and analyze their results
- Participates in testing of new system releases/updates and configuration changes by developing and executing test scripts, identifying issues and escalating to the HCM Manager as required
- Provide back-up support to HCM Analyst
- Reconcile billings from HCM vendor and consultants to ensure accuracy
Position Requirements
Education and Experience
The position requires a post-secondary degree in a related field, with a minimum of 2 years of similar experience within an HR department, ideally using HRIS/HCM systems. An equivalent combination of education, training and experience may be acceptable.
Knowledge and Skills
- Intermediate knowledge of HCM Systems, with UKG experienced preferred
- Basic knowledge of payroll processing is preferred
- General understanding of workflows and business processes, specifically around how the HCM/HRIS system can impact other systems
- Excellent communication skills (verbal and written) to effectively communicate with legal professionals and clients
- Solid analytical skills and confidentiality
- A continuous improvement and solution-oriented mindset
- High proficiency in computer software programs such as, spreadsheet programs and database systems
- Attention to detail, organization and time management skills along with the ability to balance daily work
- A compliance and procedural mindset is required

We are currently working in a hybrid work arrangement, which includes a requirement to work primarily in the office and flexibility to work remotely up to 2 days per week.
