Administrative Assistant, Neighbourhoods and Strategic Initiatives
(6 Month Contract)
United Way Greater Toronto is looking for an experienced, organized, and communicative, Administrative Assistant, Neighbourhoods and Strategic Initiatives to join our team at our Toronto office.
Reporting to the Director, Strategic Initiatives and Director, Neighbourhood Solutions, the Administrative Assistant, Neighbourhoods and Strategic Initiatives is responsible for providing administrative support to the Director, Strategic Initiatives and the Director, Neighbourhood Solutions.
What you’ll do:
- Coordinate and manage internal schedules including managing competing calendar requests, arranging and confirming internal and external appointments/meetings, prioritizing requests for time to create an efficient agenda, travel arrangements, invitations, conference calls, and speaking engagements with volunteers, committee members, staff and the public as applicable
- Coordinate internal and external meetings, seminars, and workshops, preparing agendas and meetings materials, taking minutes, managing participants, catering and logistics
- Work with senior and executive volunteers to schedule meetings, coordinate outreach and recruitment
- Sort and prioritize documents including emails for take-home packages; file, monitor and bring forward for action
- Prepare meeting packages and background materials as required to be ready for upcoming appointments, due dates, etc.
- Manage emails and calls including responding to requests and inquiries, forwarding to the appropriate person for action, screening calls and transcribing messages
- Process and track payments for contracts; prepare monthly expense reports
- Consolidate information from reports and maintain relevant data in UWGT’s constituent relationship management or other databases
- Organize, maintain and update electronic, paper filing and data systems
- Ensure team’s content on UWGT website, other relevant websites, social media and portal is current
- Prepare agreements, presentations, templates, correspondence, memos an complex reports
- Order and maintain team supplies
- Provide back up support for other teams as required
- Other duties and projects as assigned
What you’ll need to be successful:
- More than 1 year up to and including 3 years’ experience in an administrative role
- Intermediate Microsoft Office skills
- Proven organizational abilities and the ability to manage competing priorities and meet deadlines under pressure
- Excellent ability to proofread, edit and format complex documents
- Excellent attention to detail and proven track record of accuracy
- Demonstrated oral and written communication skills
- Excellent teamwork, interpersonal and constituent service skills including the ability to work respectfully and inclusively with a diverse set of constituents including internal and external stakeholders
- Ability to work independently
- Excellent judgment and discretion in handling confidential and sensitive information
- Track record of taking initiative and working towards continuous improvement
- Demonstrated understanding and commitment to the mission and work of United Way Greater Toronto, in particular in social enterprise and community development, an asset
- Willingness to actively contribute to the organizational equity framework through participation in learning opportunities and implementing anti-oppressive, and anti-racist learning into action internally and externally
