Job Description
The Geriatric Mental Health Inpatient Services is a distinct specialty program dedicated to the provision of culturally-sensitive and interprofessional assessment, consultation, diagnosis, treatment, rehabilitation and ongoing community support/services upon discharge. It consists of two busy 24/7 Geriatric Admission Units with a target population of clients 65 years of age and older, with a broad spectrum of diagnoses, including dementia, schizophrenia, mood, psychosis, anxiety, and concurrent disorders as well as psychiatric conditions which may arise from medical conditions or substances/ medications.
The Geriatric Mental Health Inpatient Services is currently seeking a part-time, contract (12 months), weekends only, Information Specialist for the GAU Department. Reporting to the GAUB Manager, Geriatric Mental Health Services. The Information Specialist is an integral member of the interprofessional team. You will perform various data management and administrative duties for the Geriatric Mental Health Inpatient Services, including coordinating the preparation of service reports; ensuring the integrity of data, especially with respect to the admission, discharge, transfer database and other program indicators information; maintaining a confidential database of client contacts and ensuring that clinical information is directed to health records in a timely fashion. Using ANSOS One Staff (staff scheduling program), you will ensure adequate and safe staffing levels required in this busy 24/7 health care environment, as well as maintaining accurate unit staff payroll information. You will perform various administrative functions, including liaising with nursing agencies for the purposes of booking staff, as required, directing patient flow; organizing and scheduling client appointments using ICARE, and other clerical duties relating to all aspects of the operation of the unit. You will be monitoring/ordering unit supplies, conducting routine environment scan and Monthly Health and Safety Inspection with nursing staff. You will be coordinating and facilitating with CAMH maintenance and preventive maintenance program to maintain safe and functional equipment. You will make an important contribution to an efficient/quality inpatient service and will be asked to provide information, both internally within CAMH and externally. Under the manager’s direction, you will maintain various other databases, will be required to run program reports and perform other duties/projects as assigned. The Information Specialist will also act as first point of contact for the unit through general customer service and reception duties (in-person, phone, e-mail). You will occasionally be asked to provide coverage in other areas within the Service. Job Requirements
The successful candidate will possess a Relevant Bachelor’s degree combined with two (2) years of related experience. Experience working within a mental health setting is an asset. You must possess excellent interpersonal, teamwork, information management and communication skills. You must have experience in scheduling appointments for clients, physicians, and staff; room booking and meeting/event planning; taking accurate meeting minutes; maintaining a database of client and family contacts and program information, preparing statistical reports, and analyzing data. You will maintain an inventory of medical/surgical and office supplies and equipment, and will work with the CAMH Preventative Maintenance Program to ensure the maintenance and safe operation of medical equipment and other apparatus. You must have knowledge of privacy legislation and understanding and adhering to policies relating to confidential information. Excellent interpersonal, written and verbal communication, organization, analytical and problem solving skills and the ability to work effectively in a dynamic team environment with minimal supervision are required. Data management and analysis are important functions of this position and you will have excellent analytical and problem solving skills. Proficiency in the use of computer databases and software applications including, but not limited to, Microsoft Office (Word, Excel, PowerPoint, Access), Outlook or other e-mail platforms, ICARE and ANSOS is required. You have a thorough knowledge of database management and statistical programs, as well as knowledge of research and report writing techniques. You will possess excellent interpersonal, teamwork, organizational and communication skills. You will have demonstrated ability to multi-task and work effectively in a busy 24/7 health care environment, and a commitment to working in an diverse environment and to upholding CAMH’s strategic directions. Ability to work in an inter-professional team setting as well as independently is a must. Bilingualism (French/English) or proficiency in a second language would be an asset.
