We are seeking a Part Time Contract Office Administrator to support our Society.
The ideal candidate will be responsible for ensuring the smooth operation of our office, providing administrative support, and managing various office functions. This role requires strong communication skills, customer support skills, and the ability to multitask. The Office Administrator will play a crucial role in maintaining an efficient office atmosphere and supporting both the Board and the Society's membership.
A degree of flexibility is required as this position has a variety of cycles with daily, monthly and annual activities. The early part of the year Jan- first week of May is busier/ mid-May-June less so, depending if any events or exhibitions being organized, summer months are quieter with no board meetings - ramping up once again in September through early December. Flexible hours to ensure that requests, emails and calls are answered timely
Responsibilities
- Provide support for the Board, Chairs of Committees and /or Exhibitions and support event coordination.
- General administrative duties including responding to inquiries from our membership, data entry, and document management to ensure accurate record-keeping.
- Coordinate meetings, prepare agendas and minutes, travel arrangements, light office maintenance etc.
- Support the budgeting processes, including tracking expenses and working with the bookkeeper to prepare financial reports as needed.
Experience
- Proven experience in an administrative role or office management position is preferred.
- Strong organizational skills with a keen attention to detail.
- Excellent customer service and interpersonal communication skills.
- An ability to proofread and/or speak in French would be an asset.
- Familiarity with clerical duties such as data entry, filing, and document preparation.
- Previous experience working with a Board and Membership organization an asset.
- Knowledge of basic accounting, budgeting and comfortable with on-line banking and programs such as PayPal.
- Proficiency in standard office software applications (e.g., Microsoft Office Suite) is required.
- Ability to learn new software systems including, ArtCall for exhibitions entry and TicketTailor for workshop or event ticketing.
Job Type: Fixed term contract
Contract length: 48 months
Pay: $25.00 per hour
Expected hours: 15 – 20 per week
