PROFILE
The Billing Administrative Assistant (BAA) is an integral member on a team of lawyers and Legal Administrative Assistants. The ideal candidate will be committed to client service, have strong communication skills and thrives in a fast-paced environment, dealing with multiple priorities and continuous learning. In this role, the BAA will coordinate and process bills for a team of lawyers within the Business Law department and will provide administrative support as needed, to all members of the designated team.
RESPONSIBILITIES
Key responsibilities include but are not limited to the following:
Preparing accounts, managing pre-bills and having a strong working proficiency with all accounting and billing procedures.
Tasks may include:
- Updating docket narratives for lawyers.
- Amending bills.
- Signing, distributing and filing bills.
- Taking instructions, prioritizing incoming work, following through on assignments and managing ongoing tasks.
- Possessing the ability to handle more than one professional and to undertake additional responsibilities as required, within the share and team.
- Updating client contact information in all systems.
- Receiving incoming payments, processing trusts and refunds from future transaction deposits.
- Liaising with any external and internal clients to address issues and answer queries on billing requirements and collection of payments.
- Processing trust cheque requisitions.
- Other duties as required.
QUALIFICATIONS
- Post Secondary Diploma
- Minimum 3 years experience in an administrative role. Billing experience is an asset.
- Ability to communicate in a professional, efficient manner with clients and external contacts, as well as internally throughout the firm.
- Ability to use discretion when dealing with confidential information.
- Capacity to work independently, as well as in a team environment.
- Produce a high quality and quantity of work product, occasionally under tight timelines.
- Able to prioritize and to redefine priorities when necessary.
- Handle stress in a business-like manner.
- Excellent proficiency with Microsoft 365, Outlook, Excel, and knowledge of Aderant, iManage or a similar document management system would be an asset.
