This is a 12 week temporary contract role
SUMMARY: The Administrative Assistant will perform numerous administrative duties supporting the CEO (70%), SVP, Strategic Partnerships and External Relations, and Director Corporate Sponsorship. Duties include scheduling, creating reports and presentations, and maintaining filing systems, including Client Relationship Management Database (CRM).
Duties And Responsibilities
- Support for the CEO will primarily focus on scheduling
- Manage CEO’s schedule, which includes liaising with internal and external stakeholders, scheduling meetings, arranging travel logistics as required and other related activities
- Calendar management and ensuring all related logistics are handled seamlessly in a timely manner
- Development of reports and presentations
- Processing expense reports
- Draft and maintain agendas for some meetings, and take minutes
- Maintain CRM database with details of the CEO’s engagements with external stakeholders
- Reception coverage in Mississauga head office (2 days/week)
- Support for other corporate team members will primarily focus on scheduling
- Other administrative tasks as required
- Perform special projects or other duties as required
Qualifications
- Must Have: Demonstrated experience and proficiency maintaining schedules of executives, including co-ordinating with C-suite level external contacts and stakeholders, both orally and in writing
- Keen eye for detail and analytical skills
- High degree of diplomacy in dealing with sensitive matters
- Proficient in Microsoft Office
