Job Overview
Reporting to the Senior Manager, Finance, the Administrative Assistant is responsible for supporting Accounts Payable (AP) and Accounts Receivable (AR) teams. The role will provide support to the AR team in processing weekly mail received from our Toronto office to ensure donations are processed on a timely basis. This role will also provide administrative support to the AP team on the US Bank corporate credit card process.
This role is 3 month contract role, with a hybrid location with minimum 2 day a week at the Toronto office.
What You’ll Be Doing
- Accounts Payable
- Maintain/organize accurate electronic files relating to credit card transactions on a monthly basis
- Review all credit card transaction to ensure compliance with organizational policy and internal controls such as appropriate approvals
- Support other corporate credit card processes such as transaction importing, card maintenance, maintenance of US Bank platform and resolving card holder issues as required
- Other duties as required.
- Accounts Receivable
- Processes donation cheques and all accounts receivable received by mail at the Toronto Office
- Support administration of donation backup documents to ensure appropriate audit trail

Qualifications
- Post-secondary education such as acquiring a college diploma, as well as specialized technical/professional training and/or certification, or equivalent.
- Requires a broad breadth and depth of specialized knowledge typically gained through post graduate education and professional certifications, or equivalent
- More than 6 months, up to 1 year- little prior experience required.
- Excellent customer service and communication skills (verbal and written) required
- Enthusiastic, positive, solutions-focused with a ‘can do’ attitude, and ability to work both independently and as part of a collaborative team
- Excellent attention to detail and strong organizational skills, with an ability to prioritize and multitask to meet time sensitive deadlines
- Basic knowledge of Excel and experience using accounting systems is an asset
- Basic understanding of accounting principles is an asset
