Job Summary: Join our team as an Administrative Assistant, where you'll play a vital role in keeping everything running smoothly! You'll handle a variety of tasks that support both the office and HR, ensuring things stay organized and efficient behind the scenes. From managing day-to-day operations to assisting with employee onboarding and collaborating with teams across branches, you’ll be at the heart of the action. Essential Responsibilities:
- Administrative Support: Manages a range of administrative responsibilities, such as invoicing, document preparation, report assistance, and general office tasks.
- Human Resources: Collaborates with HR and administration teams across all branches to implement and maintain HR initiatives.
- Onboarding and Training: Oversees the onboarding process for new employees, including filing new hire documents and creating employee profiles in ADP Workforce Now and Atlas.
- Recruitment: Coordinates with our partnered third-party recruiters to schedule temporary staff and monitor their hours, especially during busy seasons when increased volumes require additional support.
Qualifications:
- Proficient in Microsoft 365 and ADP Workforce Now
- Fluency in Spanish is considered a strong asset.
Competencies:
- Technical: Proficient in Microsoft Office (Excel, Access, Outlook, Word) with experience in calendar management and organizing meetings using technology.
- Integrity: Maintains a high level of accuracy and precision in data entry and data validation while managing large volumes of data.
- Communication: Ability to communicate policies, procedures, and data insights to employees and management.
- Accountability: Willingness to take ownership of deliverables and be a proactive thinker while delivering high quality work and meeting objectives are met in a timely way
