Who are we looking for
We are looking for a detail-oriented and proactive Project Coordinator (PC) who thrives in a dynamic work environment. The ideal candidate will be an excellent communicator, organized, and able to handle multiple tasks simultaneously. You should be comfortable interacting with both customers and internal teams, ensuring the smooth progression of projects from start to finish. What you will do
- Customer Liaison: Communicate with customers to manage expectations, clarify requirements, and collect necessary documentation to ensure the project can begin smoothly.
- Project Readiness: Review Zoho project queues and project folders to identify missing elements that may delay project initiation. Work closely with the Operations Manager to resolve issues.
- Documentation and Coordination: Ensure all relevant documentation is collected, organized, and stored properly. Update Zoho and track project progress, even when no new updates are available.
- Seamless Handover: Once the Project Manager is assigned, facilitate the handover and ensure they introduce themselves to the customer within five business days.
- Ongoing Support: Follow up with customers regarding findings reports and ensure they are informed about the Re-Testing program where applicable.
What Do You Need to Succeed
To succeed in this role, you should have:
- Experience: A minimum of two (2) years of proven administrative experience, with a solid understanding of office procedures and business practices.
- Communication Skills: Strong written and verbal communication skills, with the ability to clearly interact with various stakeholders at all levels of the organization.
- Technical Skills: Proficiency with Zoho, Microsoft Office Suite (Word, Excel, PowerPoint), and other relevant software. Comfortable with data entry and general office technology.
- Attention to Detail: Ability to identify and resolve missing information in project folders and ensure smooth transitions between tasks.
- Time Management: Ability to handle multiple tasks and prioritize effectively to meet deadlines, keeping all parties informed of progress.
