Detailed Overview
Performs staffing duties including preparing and adjusting staff rotations and allocating and calling in relief staff to fill vacancies for assigned site(s) in accordance with applicable collective agreements. Makes arrangements for relief staff by receiving calls and making any necessary calculations to determine availability of existing staff according to established procedures utilizing a computerized staff scheduling system. Processes requests such as vacation, leave of absence, termination and maternity and parental leave, maintains timekeeping records utilizing a computerized payroll system and maintains related records and documentation.
Provides varied administrative and secretarial support by performing duties such as coordinating the work flow and organizing operating procedures, obtaining information, compiling and analyzing data and preparing a variety of statistical reports/documents. Performs word processing; sets up and maintains files.
Responsibilities
- Coordinates the workflow for the area by organizing and implementing operational work methods and procedures. Develops alternative solutions and implements change. Opens and distributes mail, screens incoming materials and prioritizes items for the attention of the Coordinator, Pharmacy Services. Schedules appointments and meetings and determines urgency of request.
- Makes arrangements for relief staffing for assigned site(s) by performing duties such as receiving notification from staff, recording calls, making any necessary calculations to determine availability of existing staff according to established procedures, contacting relief staff and forwarding information to the Coordinator. Answers inquiries related to staffing issues and refers complex problems to the Coordinator as required.
- Allocates and calls in relief staff to fill vacancies resulting from unfilled positions such as shift changes, vacation, leaves of absence and sick leaves by performing duties such as utilizing a computerized staff scheduling system, processing requests in accordance with applicable collective agreements, preparing revised relief staff schedules and forwarding to the Coordinator for approval.
- Assists the Coordinator with the posting and recruitment process by performing duties such as preparing requisitions for vacancies as notified, submitting to the Coordinator for approval and forwarding to Human Resources. Receives postings and applications from Human Resources, submits to the Coordinator for review, and schedules start dates, orientation, and training for new staff as directed.
- Prepares vacation charts and performs related duties such as gathering information related to staff vacation time and processing requests such as vacation, leave of absence, termination and maternity and parental leave by preparing documentation, making necessary calculations and forwarding to the Coordinator for approval in accordance with established procedures. Enters approved vacation time into the computerized staff scheduling system, notifies staff of approved vacation time and requests further information from employees when vacation time is denied. Identifies vacation and statutory days that must be used by year end and notifies staff and the Coordinator as required.
- Maintains timekeeping records utilizing a computerized payroll system and submits to the Payroll department. Liaises with Payroll regarding inquiries and makes adjustments as required such as payroll corrections. Answers employee inquiries regarding interpretation of collective agreements such as vacation and accumulation and pay policies. Distributes pay stubs and cheques to designated employees.
- Maintains related records and documentation such as attendance records, paid leave forms, and relief staff availability. Completes forms ensuring position control tracking on documentation is correct, submitting to the Manager for approval, and forwarding to Human Resources as required.
- Types, photocopies and distributes a variety of documents such as correspondence, memos, agendas/minutes, brochures, forms, spreadsheets and statistical reports by transcribing from written draft; performs data entry and produces computerized reports.
- Arranges meetings and appointments as directed by booking interviews, seminars, staff meetings, and meeting rooms and contacting appropriate personnel.
- Attends meetings and records and distributes minutes. Books meeting rooms, arranges for room set-up, equipment and refreshments as required.
- Sets up and maintains filing system(s) for material such as correspondence, personnel records, equipment and supply records by indexing binders, creating and labeling files and filing material as appropriate.
- Performs receptionist duties such as answering/directing incoming calls, taking messages, answering routine inquiries and providing information of a general nature, and receiving visitors.
- Assembles and updates documents such as department procedure manuals and brochures.
- Maintains departmental office supplies and resources and prepares requisitions for signature.
- Performs other related duties as assigned.
Qualifications
Education and Experience
Grade 12, graduation from a recognized secretarial program, plus three (3) years' recent, related experience or an equivalent combination of education, training and experience.
