We are looking for a highly motivated Building Coordinator to join our MetroCentre team in Toronto. In this role, you will administer customer relations program and help ensure operational excellence to enhance the experience at MetroCentre. As a member of this team, you will be responsible for:
Customer Service Excellence
Build and maintain positive tenant relationships by living the Oxford Commitment, every day in every interaction.
In partnership with 310-Maxx and other members of the operations team, effectively resolve tenant concerns by clarifying the customer's complaint; determine the cause of the problem; select and explain the best solution to solve the problem; expedite correction or adjustment; follow up to ensure resolution.
Ensure tenant comfort and satisfaction through daily checks.
Ensure clear communication with all teammates, tenants, and service providers.
Draft and distribute customer notices for customer events and operational activities.
Assist with updating tenant communication pieces through Otto by Oxford.
Operational Excellence
Conduct “first impression” inspections and document investigative findings and seek and propose practical cost-effective solutions for rectification or management.
Administer, monitor and oversee Oxford internal systems 310 Maxx, and organize Property Proud events.
Assist operations manager in conducting janitorial, grounds keeping, waste management and H&S inspections to ensure maintenance of Oxford standards. Place service calls as necessary to outside vendors.
Ensure all vendors and contractors comply with the established health and safety policy and immediately report any infractions, hazardous conditions or damaged equipment.
Assist with capital project coordination and expense tracking.
Accounts Payable Administration
Processing high volume of invoices for operating expenses and capital expenses, including holdbacks, for the Metro Centre portfolio of buildings through Basware
Collecting supporting documents for processing invoices
Advising team for monthly and yearly cut-off, make sure invoices can be posted before cut-off
Implementing company AP policy, especially on invoice processing and vendor setup procedure
Coordinating monthly departmental accruals and assisting Operations Manager with preparation of annual Operating/Capital Budgets and Reforecast reporting.
Maintain utility invoice tracker and upload utility invoices to Measurabl software.
Assisting with the preparation and tracking of Tenant chargebacks and processing of Tenant Allowance payments with Property Administration team
Other
Assist with special projects and emergency situations as required.
Assist with the coordination and set up of tenant events when required.
Deposit rent cheques in a timely manner.
Provide administrative support to Operations Manager, Property Manager and General Manager.
Other general duties assigned.
Qualifications
Post-Secondary Diploma or Certificate preferred
2-3 years previous experience in similar position.
Proficiency in MS Office suite of programs. Experience with Basware and Angus Anywhere is an asset
Basic knowledge of building operation systems.
Exceptional organizational skills, ability to multi-task and self-manage competing priorities, and capability to meet tight deadlines and urgent demands.
Strong attention to detail and accuracy.
Exceptional Customer Service skill and mindset
Excellent interpersonal and communication skills.
