This position is dependent upon approved funding from Canada Summer Jobs. Position Summary Reporting to the Manager, Philanthropy & Volunteer, the Volunteer Program Assistant will support the Volunteer Program Department in a variety of administrative and client service tasks. The role includes assisting with volunteer recruitment, onboarding, training, maintaining records, and supporting special projects. The position offers opportunities to develop client service, teamwork, communication, and digital skills while interacting with volunteers and staff across multiple departments.
Canada Summer Jobs Requirements
- Must be between 15 and 30 years of age at the beginning of the employment period.
- Must be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment.
- Must have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations.
Duties and Responsibilities
- Assist with volunteer outreach and recruitment processes, including reviewing applications and responding to inquiries.
- Help maintain accurate records in the volunteer database and filing system.
- Coordinate and schedule volunteer onboarding, orientation, and health & safety training.
- Ensure volunteer training is up-to-date and compliant with organizational requirements.
- Initiate criminal background checks for new volunteers and assist in onboarding.
- Update volunteer role descriptions and assist in developing new policies or procedures.
- Provide support for special projects and events involving staff and volunteers.
- Communicate with staff, volunteers, and the public on a daily basis.
- Ensure volunteer documentation is accurate, up-to-date, and properly filed.
- Work closely with the Volunteer Department team and assist other agency departments as needed.
- Support the implementation of volunteer-related programs and initiatives across the agency.
- Assist with scheduling and back-up volunteer support as required.
- Provide general administrative support to the Volunteer Program Department as needed.
POSITION QUALIFICATIONS
- Post-secondary education in volunteer management, or Social Services.
- Minimum 1 year experience required in an administrative role.
- Good knowledge of MS Outlook, Word, Excel, Internet and familiarity with using database programs.
- Excellent interpersonal, communication skills and can act with diplomacy and tact.
- Demonstrated understanding of diversity, inclusion, access and equity principles.
- Attention to detail and excellent follow through skills with the ability to take initiative.
- Ability to manage multiple competing priorities in a fast-paced work environment.
- Ability to maintain a high level of discretion and confidentiality
- Able to multi-task in a fast-paced environment.
- Ability to accept supervision and seek counsel.
- Dependable, punctual and flexible.
- Second language an asset.
- Must be qualified to work in Canada legally for the employer.
- Able to provide a Vulnerable Sector Screening check with a ‘Clear’ or satisfactory result that meets the operational requirements of the Agency.
- Must have up-to-date vaccinations against COVID-19 with a vaccine that has been approved for use in Canada.
