About the Role:
The Payroll & Benefits Administrator is a people-focused stickler for the details. This position is responsible for biweekly payroll processing, health & benefits program administration, as well as reporting and analyzing data with the goal of implementing process improvements.
This position requires someone with a proactive, positive attitude and the ability to manage multiple tasks and priorities simultaneously with competing deadlines. In addition to possessing good judgment and developed problem-solving skills, the Payroll & Benefits Administrator must possess a high degree of initiative and exercise discretion when handling details of a confidential and critical nature. This position requires a team player with strong organizational skills, detail orientation and the desire to help others!
Responsibility Breakdown:
The Payroll Administrator is responsible for ensuring all employees are paid in accordance with Dayforce’s bi-weekly payroll schedule in and the terms and conditions of employment as prescribed by policy, employment contracts and legislative requirements. Primary tasks include entering and verifying payroll data, processing employee payments, preparing T200 and ROE’s, gathering data for the preparation of adjustments, monthly and annual payroll reconciliations and payroll remittances.
Approximately 45% Payroll, 35% Benefits, and 25% HR Initiatives and Administration
Some of the things you’ll get paid to do:
Payroll Processing
- Oversee all payroll functions to ensure that employees are paid in a timely and accurate manner
- Ensure that payroll data is collected, inputted, processed, balanced, and verified
- Ensure all hourly personnel, weekly timesheets and changes are accurately entered into the payroll system on-time (Dayforce)
- Meet deadlines while maintaining compliance and regulatory standards
- Oversee time off policies and timecards and ensure appropriate recording of days worked
- Identify and communicate issues or improvements needed for Payroll Process
- First point of contact for employee support for payroll-related inquiries
- Identify and resolve payroll issues/discrepancies
- Maintain and prepare confidential payroll data records for external audits
- Reconcile and process all year-end documents, including issuing T4s on an annual basis
- Assist with month end and year end processes, compiling statistical reports, statements and summaries as required
- Perform routine quarterly internal audits of payroll information in Dayforce
Health Benefit Administration
- Administer employee health insurance and benefits plans
- Identify eligibility and enroll new plan members as well as terminate exiting plan members
- Maintain communication with plan members, ensuring plan information is up-to-date and available, and respond to inquiries
- Process status changes to benefit plans for all members (i.e. leaves of absence, new dependents, etc)
- Update and maintain plan premium changes in Dayforce
- Complete annual review of plan in collaboration with HR Manager
- Update benefit provider bi-annually with updated salaries & job titles of all plan members
- Perform routine periodic audits of the benefit plan (e.g., deductions, eligibility, position changes, etc)
- Assist with disability management and work accommodation plan administration
Employee Savings Program Administration
- Administer Employee Savings Program RRSP, RESP & DPSP plans
- Maintain communication templates with members and ensuring plan information is up-to-date and available for members
- Provide new plan members with plan enrollment details based on eligibility, and update as needed
- Ensure the most recent and accurate contribution information is updated in Dayforce
- Update Canada Life with updated salaries and seniority changes annually
- Complete annual review of plan in collaboration with HR Manager
- Responding to inquiries in timely manner
HR Administration
- Create, run and manipulate report data
- Ensure employee records, databases, files, and confidential documents are kept up-to-date
- Assist with HR data tracking and analytics
- Drafting employment-related correspondence
- Administering employee enrollments, status changes and terminations
- Creating and facilitating employee training relating to Dayforce, benefits & employee savings program
- Maintain employee milestone calendar, communications and action monthly milestone changes to employee profiles
- Keep up-to-date with HR and Employment Standards legislation
- Research best practices in HR and recommend improvements to existing practices
- Practice discretion and confidentiality of employee information according to privacy and employment legislation
- Communicating and enforcing company policies listed in the Employee Handbook and other company policies
- Cultivate positive employee relations through support and prompt responses to HR inquiries
- HR special projects and other HR administration tasks as required
About You
Required Education & Experience
- College diploma/certification or University degree in Human Resources or a related field
- Minimum 2 years of payroll processing experience
- Minimum of 1 year of benefit administration experience
- Proficiency with MS Word, Excel, PowerPoint, Google App is required
- Proficiency with payroll, benefits & HRIS related software
- Demonstrated functional familiarity with Dayforce payroll software system is required
- Working knowledge of legal regulations pertaining to payroll
- PCP certification is an asset
