Reporting to the National Broker Services, Team Lead, the successful candidate will be representing our Definity and Sonnet brands as the first point of on-site contact for visitors as well as our internal teams. The Receptionist will be primarily responsible for telephone switchboard operations, building related inquiries as well as general office and meeting support. This full-time, permanent position, offering a Hybrid work schedule - in-office 3 days a week position from 8:30 am to 4:30 pm.
What can you expect in this role?
- Primary responsibility - answering the main Definity switchboard, incoming calls and transferring calls to appropriate areas.
- Processing inbound/outbound Canada Post mail; ensure the timely distribution of mail to appropriate employees/departments. Which includes tracking when required.
- Receive inbound/outbound ICS courier shipments; ensure timely distribution of packages to appropriate employees/departments. Which includes tracking when required.
- Basic administrative support such as:
- Ordering office supplies and making sure regularly re-stocked.
- Receiving catering for appropriate onsite contact
- Reception, access control
- Arranging Shuttle passes
- First point of contact for clients, visiting employees, contractors, etc.
- Owner of the visitor access management at this location – ensure that access to the office is aligned to Definity’s visitor management procedures and policies. Which would include issuing guest day passes and having visitor sign in.
- Contact for facilities and landlord relations – main onsite liaison with building management for day-to-day operational items.
- Disseminate building information and notices as provided by building management.
- One of the key stakeholders for onsite on-site liaison with Corporate Services Facilities team. Consist of a variety different task.
- May be called upon to assist with response coordination during any emergency situations which may arise.
What you bring to this role?
- Minimum 2 years of office experience
- College or University Degree
- Excellent computer skills and proficient in Microsoft Word, Excel and MS Outlook
- Excellent Organizational skills
- Able to multitask and work effectively in a fast-paced environment
- Professional, friendly, and courteous in all interactions with internal staff and/or external visitors
- High level of comfort dealing with senior level staff
- Able to perform well in a busy operation and remain calm under pressure
- Team player adaptable to a changing environment
- Strong written and verbal communication skills
Salary range is $40,200 - $69,400
