PROFILE
We are currently seeking an intermediate level, energetic, detailed oriented, highly organized individual to join our fast-paced Legal Administrative Assistant team in the Toronto office Corporate Services Department.
RESPONSIBILITIES
As an integral member of the Legal Administrative Assistant and Corporate Services teams, the incumbent will be required to assist professionals and Law Clerks within our Business Law department.
Responsibilities may include, and are not limited to, the following:
- Preparing routine correspondence, revising documents and preparing record books.
- Assisting with drafting various corporate documents and forms, including extra-provincial and extra-territorial annual returns, business name and Limited Partnership registrations and renewals.
- Updating and maintaining corporate records database and minute books, including Athennian database.
- Preparing share certificates, share registers and ledgers for minute books.
- Maintaining bring-forward system on behalf of busy professionals to ensure corporate filings are effected within specified timeframe.
- Docket entry, review of monthly pre-bills, making necessary changes/corrections. Sending accounts via Accounting Email System and Chrome River expense reimbursement. Preparing internal accounting forms.
- Arranging and co-ordinating meetings.
- Other duties as required.
QUALIFICATIONS
- Legal Administrative Assistant Diploma from a recognized college preferred.
- 5+ years experience as a Legal Administrative Assistant, preferably in a Corporate Services Department.
- Excellent oral and written communication skills, including a strong knowledge of grammar and exceptional spelling and proofreading abilities.
- Strong work ethic with excellent attention to detail and strong organizational and prioritization abilities.
- Ability to take initiative and exercise sound judgement.
- Strong knowledge of general office procedures, office systems, file management and associated policies.
- Possess the ability to handle more than one professional and to undertake additional responsibilities as required within the share and team.
- Be capable of implementing and maintaining practice management systems on behalf of busy professionals.
- Ability to work well in a team as well as work with minimum supervision when required.
- Proficiency in MS Word and Outlook, knowledge of corporate database (i.e. Athennian), document management systems (i.e., iManage) and docketing software (i.e., Expert Time) and generally possess strong technical skills.
- Ability to excel in a deadline-driven environment and willingness to work after hours, sometimes on short notice, in order to meet cut-off dates, if needed.
