Coordinator, Fundraising Events

Reporting to the Manager, Fundraising Events, the Coordinator, Fundraising Events is responsible for supporting the ALS Canada Signature and Third-Party Events portfolio, which includes the ALS Canada Walk to End ALS, Pull to End ALS, Buck-A-Puck for ALS, and Community Events. As an active member of the events team, you will focus on supporting the outreach, recruitment, retention, and stewardship of the Signature Events and Third-Party event portfolios.

Responsibilities
Revenue and Recruitment
- Support the Events Team in meeting or exceeding overall revenue targets for the ALS Canada signature and third-party events portfolio.
- Retain and manage critical relationships with event organizers, participants, volunteers, sponsors, donors, and vendors.
- Evaluate program operations and improve delivery through a 360-degree analysis of event data, including participation, revenue, cost of fundraising, etc.
- Oversee and work within expense and revenue budgets, providing regular financial reports on certain projects.
- Support third-party event discovery calls; motivate and engage Signature Event constituents by assisting with kick-offs, progress meetings, presentations, and personalized touchpoints.
- Support with third-party event participant and fundraiser communications and recruitment.
- Create resources to support Events Team, Community Leads and volunteer committees, including but not limited to sponsorship letters, packages, outreach e-mails, in-kind sponsorship resources, etc.
- Lead the Pull to End ALS Silent Auction, including outreach, tracking, logistics, and stewardship; assist with sourcing in-kind donations for all Signature Events, raffles, etc.
- Work with the Specialist, Fundraising Events to support Walk to End ALS projects including, but not limited to, calling campaigns, mailouts, incentives, permits, insurance, sponsorship outreach, etc.
- Support recruitment initiatives for signature events, as required.
Customer Service and Stewardship
- Provide administrative and technical support to all event organizers, fundraisers, and donors by providing best practices to create and manage fundraising event, team, or individual pages, including assisting with setting fundraising goals, supporting with their page set-up, moving donations, re-issuing tax receipts, assisting with registrations, etc.
- Liaise and collaborate with the Marketing, Strategic Communication and Knowledge Exchange team for signature and third-party events marketing material, social media, reviews and approvals; provide content as required.
- Identify strategies to grow the third-party and signature events revenue with an emphasis on recruitment, coaching, support, experience, and stewardship.
- With support from the Events Team, provide an exceptional experience for top fundraisers across all events.
- Create and analyze survey responses to measure event participant satisfaction and inform future strategic planning for all events.
- Track and document information and progress of fundraisers taking place within the community.
- Work with Events Team and Donor Services Team to monitor and track third-party event funds in the database and all matters related to tax receipt inquiries pertaining to third-party or signature events.
- In collaboration with the Fund Development team, lead, execute, and support a stewardship plan for event volunteers, participants, donors, and sponsors.
Branding and Logistics
- Incorporate the ALS Canada vision, mission and values in the planning and execution of all events.
- Assist with sourcing, ordering, and distributing event swag and incentives for all ALS Canada events.
- Lead supply packing leading up to and after events: sorting and dividing supplies, lifting, and loading products.
- Coordinate and support signage development as required.
- Support the Events team with event logistics as required.
- Support with the Third-Party and Signature Events website development.
- Assist with processing event-related invoicing and expenses.
- Support Signature and Third-Party Event committee volunteers as required.
Other
- Extended hours and weekend work required for various signature events.
- Some travel may be required to attend third-party and signature events.
- Lifting, packing, carrying, and loading will be required in this role.
- Organize and lead the storage inventory tracking of in-office swag, supplies, materials, etc., with support from the Events team.
- Act as an ambassador for the organization and attend events as required.
- Other duties as assigned.
Qualifications
- Completion of post-secondary degree/diploma in a relevant field or equivalent relevant experience.
- 2 years’ work experience with events planning.
- Strong computer skills with experience in Microsoft Office and an aptitude for database systems.
- Strong interpersonal and relationship management skills.
- Ability to achieve in a fast-paced environment, where attention to detail and organizational skills are paramount while meeting deadlines.
- Excellent organizational, planning, and administrative skills.
- Ability to build successful working relationships with internal and external partners.
- A keen interest in the organization’s mission and mandate and desire to help make a difference to people and families living with ALS.
- Inherent demonstration of ALS Canada core values: accountability, collaboration, compassion, integrity, dynamic and respect.
- Experience working in not for profit or health charity.
- Experience working with Raiser’s Edge NXT is an asset.
- Driver’s license is required, access to a vehicle is an asset.
