Position Overview
The Receptionist serves as the first point of contact for our company, providing exceptional customer service to clients and visitors while managing front desk operations and performing a variety of administrative tasks. This role requires professionalism, excellent organizational skills, and the ability to multitask in a fast-paced environment.
Key Responsibilities
- Answer incoming calls and respond to inquiries in a professional, positive manner.
- Greet, assist, and direct visitors to the seating area.
- Manage incoming and outgoing mail, including courier services (FedEx, UPS).
- Arrange and maintain boardroom schedules, ensuring cleanliness and readiness for meetings.
- Maintain the reception and kitchen areas to a professional standard (e.g., organize supplies, run dishwashers, and clean shared spaces).
- Update phone and distribution lists as required.
- Assist with administrative duties, including:
- Meeting preparation and catering orders.
- Data entry, filing, scanning, and photocopying.
- Preparing labels, bulk mailing, and managing expense reports/invoices.
- Monitor staff whereabouts and ensure proper sign-in/sign-out procedures.
- Support projects and tasks assigned by management or other administrative staff.
- Order office and kitchen supplies, ensuring a fully stocked and well-organized space.
- Promote and uphold NPW’s core values, particularly ethics, integrity, and professionalism.
Qualifications
- High school diploma or equivalent; post-secondary education is an asset.
- Proven experience as a receptionist, front desk representative, or similar role.
- Strong verbal and written communication skills.
- Excellent organizational and multitasking abilities.
- Proficiency in MS Office Suite (Word, Excel, Outlook) and basic office equipment.
- Positive attitude, professional appearance, and strong interpersonal skills.
- Ability to handle confidential information with discretion.
- Language: English required; French is an asset.
