As a member of the Property department, the Construction Project Coordinator organizes and orchestrates renovation and construction projects for all of Reena and Batay Reena under the direction of the Director of Facilities Management and Capital Projects.
The principal responsibilities include developing, implementing, and coordinating the timely execution of multiple and simultaneous construction and renovation projects, monitoring job progression and the quality of work related to project outcomes, liaising with vendors and service providers, project budgeting, and implementing cost-effective initiatives while also ensuring alignment with the organizational mission, mandate, and goals.
Main Responsibilities
- Develops preconstruction schedule and proactively monitors multiple new and rebuild construction projects to identify and communicate any risks for a successful on-time and on-budget execution
- Collaborates with both internal and external stakeholders (architects, IT specialists, engineers, suppliers, contractors, property maintenance managers) to resolve any coordinating work issues and collaborate with the city to understand building or permit requirements
- Coordinates with various teams to gather all drawings, specifications and permits for projects
- Prepares Request for Proposals (RFPs) and tracks the budget with all the incoming and outgoing invoices, RFIs, COs, etc.
- Analyzes project data and researches and estimates the cost of various scopes of construction to understand market values, thereby helping Director of Facilities Management and Capital projects make decisions
- Assists Director Facilities Management and Capital Projects with administrative functions and processes; producing construction reports; issuing/reissuing correspondence to the tender bidders, contractors and suppliers; updating and tracking schedules for all projects, and closeout process to ensure appropriate filing of all paperwork
- Ensures project compliance, quality control and documentation is maintained throughout the length of the project and reviews to ensure accuracy and completeness
- Participates in various project meetings, design discussions, and evaluation meetings; prepares agenda, and meeting minutes and maintains records of all construction dates and project costs
- Seeks out new information and opportunities to enhance competencies and integrates the results into career planning.
- Manages multiple tasks and responsibilities for different teams and programs connected to renovations and construction processes as a part of Reena`s Construction Department
Formal Education and Experience
- Three-year college diploma in project management, construction management or equivalent
- 2-3 years of project coordinator experience in construction
- Basic knowledge of AutoCAD and Microsoft Project
- Project Management Professional (PMP) designation or working towards is an asset
- Architectural (OAA) or Engineering (CET, EIT or P.Engineering) designation is an asset
- Experience dealing with external contractors and handling all aspects of contracts
- Strong computer skills, proficient in all Microsoft Office programs and experience with databases
- Ability to travel to/from job sites and vendor locations as required
- Excellent communication skills, verbal and written
