Who Are We Looking For
We seek a detail-oriented and dependable Payroll and Benefits Coordinator who can independently manage payroll processing and benefits administration for Canadian and US employees. This role is critical in ensuring accurate and timely payroll, compliance with Canadian and US regulations, and exceptional support to our employees. You will also take ownership of benefits administration and year-end reporting and collaborate with HR and Finance teams to streamline processes. The ideal candidate will bring expertise in payroll, a proactive attitude, and a commitment to maintaining high standards.
Key Responsibilities
Payroll Administration
- Process bi-weekly payroll for Canadian and US employees using ADP.
- Ensure compliance with Canadian and US payroll legislation, including tax filings and reporting requirements.
- Manage and maintain employee payroll records, ensuring data accuracy within ADP systems.
- Reconcile payroll accounts and resolve discrepancies.
- Support year-end payroll activities, including preparing and distributing T4s and W-2s.
Benefits Administration
- Administer employee benefits programs, including enrollments, changes, and terminations.
- Ensure compliance with Canadian and US benefits regulations.
- Reconcile benefits accounts and address discrepancies promptly.
Employee Support
- Respond to employee inquiries about payroll, benefits, and deductions professionally and efficiently.
- Guide on payroll and benefits-related policies and procedures.
Collaboration and Process Improvement
- Work closely with HR and Finance teams to enhance payroll and benefits processes.
- Stay up to date with legislative changes affecting payroll and benefits in Canada and the US and recommend necessary updates.
- Prepare and distribute payroll and benefits reports to stakeholders as required.
What Do You Need to Succeed?
To succeed in this role, you should have:
Education and Certification:
- Payroll Compliance Professional (PCP) designation is required.
Experience:
- Minimum of 3+ years in payroll and benefits administration with proven accuracy and compliance.
- Experience with ADP payroll and benefits systems.
Skills and Competencies:
- Payroll Expertise: Comprehensive understanding of Canadian and US payroll laws, tax regulations, and reporting requirements.
- Benefits Administration: Skilled in managing employee benefits programs, including enrollments, terminations, and compliance.
- Attention to Detail: Ensures accuracy in all payroll and benefits processes.
- Organizational Skills: Manages multiple responsibilities efficiently and meets deadlines.
- Proactive Problem Solver: Anticipates challenges, identifies improvement opportunities, and resolves issues independently.
- Communication: Communicates clearly and professionally, simplifying complex information for employees and stakeholders.
