We are seeking a highly organized and detail-oriented Events Assistant to join our dynamic team at SJC Media. The successful candidate will play a crucial role in supporting the administration, logistics, and vendor management aspects of our events. This position requires a proactive individual who can seamlessly coordinate with the leadership team and ensure that all events run smoothly.
Key Responsibilities:
Administrative Support:

- Assist with day-to-day administrative tasks, including scheduling meetings, managing calendars, and coordinating communication between departments.
- Prepare and maintain event-related documentation, such as contracts, invoices, and budgets.
- Handle general office duties, including filing, data entry, and managing correspondence.
Event Logistics:

- Coordinate event logistics, including venue selection, catering, transportation, and accommodation arrangements.
- Ensure all event materials and equipment are prepared and available on-site.
- Assist with event setup and teardown, ensuring that all elements are executed to the highest standard.
Vendor Management:

- Liaise with vendors, suppliers, and contractors to secure services and negotiate contracts.
- Manage vendor relationships, ensuring timely delivery of goods and services.
- Oversee payment schedules and ensure all vendors are compensated promptly.
Leadership Team Support:

- Provide direct support to the leadership team by assisting with event planning and execution.
- Participate in brainstorming sessions and contribute ideas for improving event processes and experiences.
- Assist in the preparation of post-event reports, analyzing the success and areas for improvement.
Qualifications:
- Bachelor’s degree in Event Management, Business Administration, or related field.
- 2+ years of experience in event planning, administration, or a related role.
- Strong organizational and multitasking skills, with the ability to manage multiple projects simultaneously.
- Excellent communication and interpersonal skills, with a keen attention to detail.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and event management software.
- Ability to work under pressure and meet tight deadlines.
- A proactive attitude and a team-oriented mindset.
