JOB SUMMARY
The Payroll Coordinator is responsible for managing all aspects of weekly & biweekly payroll processing, ensuring accurate and timely payroll distribution, and maintaining compliance with company policies, collective agreements, as well as statutory and regulatory requirements. The ideal candidate is detail-oriented, has strong analytical and excel skills, and possesses a solid understanding of payroll regulations.
KEY RESPONSIBILITIES
Payroll Processing:

Accurate and timely processing of payroll for all employees (hourly and salary), including off cycles as required. Ensure corporate compliance is maintained by following government regulations, company policies and collective agreement requirements.

Sign off Kronos timecards for the pay period being processed. Perform reconciliations between data integration and interface into Workday and review timecards approved by Operations for any daily hours more than 12 hours.

Issue stop payments and/or deposit recalls as required.

Work collaboratively with all departments and all levels in the organization to resolve payroll issues or discrepancies as well as implementing change

Participate in periodic payroll testing as required (Workday software system upgrades, interface testing, and roll out of new processes).

Provide back-up payroll team members during vacations & absences.
Tax & Regulatory Compliance and Reporting:

Prepare and submit payroll tax filings in compliance with federal and provincial regulations including: CRA, EHT, WSIB, and garnishments.

Prepare monthly remittances for all union due deductions and prepare associated union reporting.

Run weekly ROE processes including reviewing documents and insurable earnings to ensure all information to be reported is accurate and uploading to Service Canada via ROE Web.

Prepare monthly remittances for SOBEN health and welfare.

Participate in tax year-end preparation and closing including reconciliation, balancing of T4’s, T2200 and government filing.

Monitor changes in tax regulations and update payroll systems and practices accordingly.
Employees Inquiries:

Provide excellent customer service and support to all stakeholders across the organization

Issue clear and concise communications with employees about payroll-related policies, updates, and when addressing questions and concerns regarding payroll, deductions, and tax withholdings
Reporting, Documentation & Analysis:

Post weekly and bi-weekly General Ledger (GL) interfaces from Workday.

Prepare monthly journal entries in accordance with the Finance reporting schedule.

Reconcile Payroll balance sheet accounts and ensure reconciling items are resolved promptly

Generate payroll reports, summaries, and analysis for senior finance leadership

Maintain accurate payroll records and documents for audit purposes (internal & external).

Assist with budgeting and forecasting payroll costs as needed.

Maintain and update payroll procedure and desk-level documentation

Provide support with special projects and reporting requests as they arise

Leverage advanced Excel skills to create complex reports that summarize data in a precise and organized fashion, analyze extensive datasets, and provide insights to support stakeholder decision-making
JOB QUALIFICAITONS
Knowledge:
-
Thorough understanding of Canadian payroll legislation and taxation rules
-
Solid working knowledge of payroll processing software, with Workday an asset
-
Working knowledge of hourly time keeping systems, with Kronos Workforce Dimensions a plus
-
Working knowledge of Financial ERP system, with Microsoft Dynamics 365 an asset

Proficient in Microsoft office suite of tools including: Outlook, Word, etc
Skills:

Proficient in advance excel functions including pivot tables & VLOOKUPs, for comprehensive reporting and data analysis

Education and Experience
-
Minimum 5 years of Canadian Payroll experience working in a mid to large size organization with operations in Ontario.

At least 2 years of exposure in a union and non-union environment
-
Payroll Compliance Professional (PCP) certification is an asset
Working Conditions
This is a full-time role, currently a hybrid work arrangement with 3 days in the office and 2 days remote (subject to change)
