CPA Ontario is seeking an Executive Assistant who will support the Chief Financial Officer and Operations Leadership Team. In this role you will contribute to a well-organized and effective environment in which the Operations Team can function, while maintaining a high degree of accuracy and attention to detail in your deliverables and discretion in your daily work. The role also requires the ability to work efficiently and effectively with a demanding workload and fast-paced, often complex environment.
What You’ll Be Doing:
Providing comprehensive administrative support to the CFO and members of the Operations Leadership team.
Tracking deliverables, organizing virtual and in-person meetings, team events and compiling materials, documents, creating presentations, spreadsheets, reports, templates and preparing agendas.
Assisting in the development of presentations, including graphics, compiling required content independently from multiple sources, formatting, reviewing and editing as required.
Coordinating, monitoring and following-up with various project teams and gathering insight on internal initiatives as required by the Operations’ Leadership Team, and related stakeholders.
Overseeing communications such as emails, phone calls, reports, and internal correspondence. Ensuring stakeholders are informed and up to date while maintaining a high degree of tact, discretion, and confidentiality.
Supporting the Operations Leadership team during Financial and Committee cycles including workplan schedule tracking and coordinating meetings to meet timelines and deliverables. Assisting with preparing, reviewing and compiling materials for quarterly Committee and Board meetings. Liaise between CEO office and Finance/Risk teams, ensuring strict adherence to version control for distributed materials.
Coordinating process for onboarding and offboarding of Operations team members, including liaising with HR, IT, and other business units, coordinating meet-and-greet meetings, IT deployments and ensuring smooth onboarding processes.
Supporting overall engagement by coordinating and scheduling Operations Team townhall meetings. skip-level meetings with the CFO and more.
Assisting the Executive Assistant of Office of the CEO in organization of Senior Leadership meetings, quarterly Committee and Council meetings, and serving as back-up to CEO as required.
Who You Are:
A post-secondary graduate with a degree or diploma with a minimum of 5 years’ proven experience providing senior-level administrative support to multiple leaders simultaneously, preferably managing the office and the portfolio of a CFO.
Experienced working in a dynamic environment with proven ability to exercise judgement, discretion and tact when handling sensitive and confidential matters.
A strong communicator (verbal and written) with excellent project management and critical thinking skills and the ability to deal with individuals and situations with tact, discretion, and diplomacy.
Expert level skill in Microsoft Word, Excel, Outlook, Teams, SharePoint and PowerPoint.
Able to prioritize multiple deadlines and excel at time management combined with a high degree of attention to accuracy and detail.
Self-motivated, flexible, with the ability to work as part of the team and work autonomously.
