We’re seeking a highly organized and detail-oriented Administrative Assistant to provide essential support to our Burnaby operations and project teams. In this role, you’ll ensure administrative tasks are completed accurately and on time, playing a key part in our team's success.

Essential Responsibilities:
- Prepare, review, and maintain order contracts.
- Assist with the coordination of meetings, including scheduling, booking resources, compiling required materials, and making catering arrangements.
- Maintain and update various distribution lists for the department and projects.
- Manage inventory of office supplies and equipment.
- Perform general administrative tasks, such as photocopying, scanning, printing, filing, managing calendars, coordinating mail and couriers, preparing and distributing correspondence, and taking meeting minutes.
- Process accounts payable (AP) invoices, ensuring they meet approval requirements, coding to appropriate cost centers, and investigating vendor inquiries.
- Review purchase orders for accuracy and completeness before commitment.
- Provide time capture support for timesheets and coding corrections.
- Perform job cost transfers and create journal entries as part of month-end billing.
- Distribute billing statements and reconcile discrepancies.
Requirements:
- 2-5 years of administrative experience.
- Proficiency with MS Office applications, including Word, Excel, Outlook, Teams, and PowerPoint, with an aptitude for learning new computer systems.
- Excellent time management and organizational skills, able to manage multiple tasks and set priorities.
- Proactive, resourceful, and responsive, with proven problem-solving skills.
- Ability to work independently with minimal supervision and collaboratively with others.
- Strong verbal and written communication skills.
- Commitment to continuous improvement and delivering excellent customer service.
Working Conditions:
- This is an office-based role. Occasional hybrid requirements may be accommodated.
