Position Description
Position Summary
This position provides administrative support to the clinical activities for the Community Psychiatry Clinic (CPC). The incumbent serves as the liaison with patients, family members, other departments/hospitals, staff and outside agencies. The incumbent ensures the business, research, academic and clinical administration of the Clinic and its team members are coordinated with efficiency, professionalism and confidentiality.
Qualifications
- Two-year post-secondary diploma in medical office administration required.
- Two years related experience working within a busy office environment, with at least two years in a mental health setting, and demonstrated knowledge of the Mental Health Act and related legal forms required.
- Completion of Medical Terminology Level 1 and 2 required
- Intermediate skill level in medical terminology, medical spelling, and spelling is required
- Intermediate skill level typing speed and accuracy required
- Intermediate skill in MS Word and Excel is required
- Demonstrated proficiency in specialized computer applications, including Dovetale.
- Demonstrated ability to maintain excellent interpersonal relationships while handling multiple tasks, conflicting priorities and frequent interruptions in a fast-paced environment required.
- Demonstrated excellent customer service and ability to effectively communicate in a sensitive, supportive, non-judgmental and respectful manner with psychiatric patients in person and over the phone required.
- Demonstrated excellent organizational and problem-solving skills, with demonstrated flexibility and ability to set own priorities and work with minimal supervision required.
- Superior oral and written communication skills with demonstrated grammatical aptitude, good spelling and punctuation
- Demonstrated excellent communication skills both verbal and non-verbal
- Ensures supplies required by the service are adequately stocked and re-ordered in a timely manner
- Provides coverage for other administrative support staff as required, and assists with other activities as assigned by the Manager
- Demonstrated ability to maintain confidentiality required.
- A good performance and attendance record is essential.
- Clerical testing may be required as part of the selection process
Responsibilities
Some responsibilities include the following:
- Provides administrative support to assigned physicians and multidisciplinary team members, including typing correspondence/documents, taking dictation, taking minutes, scheduling appointments, faxing, photocopying, distributing mail, filing, etc.
- Provides reception coverage, handling incoming phone calls, enquiries and visitors or facilitating referrals where appropriate
- Registers patients in Dovetale and schedules patient appointments, confirming, cancelling and rescheduling appointments where needed , and maintains statistics on patient numbers and cancellations
- Maintains patient charts, initiating, recording and filing all relevant documentation accordingly i.e. Form 14's, file consultation notes, prescriptions, client status, etc.
- Remains alert regarding client activity and ensures work area is maintained in a safe, organized and presentable way at all times
- Provides coverage for other administrative support staff within CPC as required, and assists with other activities as assigned by the Manager
- All other duties as assigned
WAGE RATE
Hourly: $28.87....$30.14....$31.37
